What is Hailo, exactly?
Hailo is an all-in-one application for wedding and event filmmakers. It's three connected tools in one app: Manage (a CRM for clients, proposals, contracts, invoicing, scheduling), Edit (a footage assistant that trims unusable clips and classifies moments), and Deliver (branded delivery pages on your own domain).
It's designed to replace the 5–7 tools most wedding filmmakers stitch together — and to do things those tools can't do because they don't know each other.
Who is Hailo for?
Mostly: solo wedding filmmakers and small studios doing 10–60 weddings a year. The kind of operation where the founder is the shooter, the editor, the salesperson, and the bookkeeper.
Hailo also works well for event filmmakers (corporate, brand, documentary) and is good for hybrid wedding-and-portrait shops. It's less suited to large multi-shooter agencies right now — multi-seat / team features are on the roadmap but not here yet.
How does the free trial work?
14 days, full app, no credit card required. You install Hailo, connect your tools, run real projects through it. On day 14 we ask for a card to continue. If you don't add one, your account pauses — your data sits there for 30 days in case you change your mind.
Do I need to be technical to set Hailo up?
No. Hailo runs as a normal Mac app — install it like any other application, double-click to launch. Connecting Google Calendar and Gmail is a standard OAuth flow (click a button, sign in with Google, done). Custom domain for delivery pages takes about 5 minutes if you've used DNS before, or about 15 if you haven't and follow our guide.

Does Hailo replace my video editor (Premiere / FCP / DaVinci)?
No. Hailo is not a replacement for your NLE. You still edit in Premiere, Final Cut Pro, or DaVinci Resolve.
What Hailo does is the prep work before you ever open your NLE — it ingests your footage, trims the unusable clips, classifies each clip by moment (ceremony, speeches, dancing, etc.), and exports a clean XML you can drop into your NLE. The grunt work is done; your timeline opens with the usable clips already organized.
How accurate is the auto-trim and classification?
Auto-trim catches the obvious unusable clips — handheld jitter from running between shots, accidental ground shots, smudged lenses. It's conservative by design: we'd rather leave a borderline clip in than cut a good one out. You review and refine in your NLE.
Moment classification works well for typical wedding day structure (prep → ceremony → portraits → reception → dancing). Edge cases (multi-day weddings, non-traditional ceremony formats, mostly-indoor shoots) we keep improving on. You can correct classifications and Hailo learns from your corrections.
What about multi-cam? I shoot with 3+ cameras.
This is one of the things Hailo does best. Point it at one folder with all your camera footage, and it gives you a single FCP7 XML with one V-track per camera, master audio on A1, and scratch audio muted. Drag the XML into your NLE and you have a synced multi-cam timeline.
It also handles the speech film case: detect toasts across all your cameras, build a multi-cam edit with transcripts, ready for cutting.
Does Hailo write my client emails or generate my edits with AI?
No. Hailo does the grunt work with AI — trimming, sorting, classifying, automating reminders. But the creative work stays yours: we don't generate edits, we don't write your client emails, we don't pick which moments make the cut.
Email templates are pre-written by you or by us, then you fill in the blanks. Edits are made by you in your NLE. Hailo gets you to the creative work faster — but it doesn't do the creative work for you.
Can my clients see my delivery pages on a custom domain?
Yes — that's a core feature. You point a subdomain like videos.yourname.com at Hailo via a CNAME record, and every delivery page lives at videos.yourname.com/sarah-and-chris (or whatever slug you pick). Your logo, your colors, your domain. Clients never see "hailo.studio" in the URL.
What integrations are supported?
Currently:
- Google Calendar (event scheduling)
- Gmail (sending client emails from your address)
- Stripe (invoicing, client payments via Connect)
- Square (alternative payment processor, informational only in v0)
- Apple iCloud Calendar (via CalDAV, as alternative to Google Calendar)

Pricing & billing
How much does Hailo cost?
$200/month, all features, billed monthly. There's no Pro tier or feature gating — every subscription is the full app. Annual billing saves 15% ($2,040/year).

What's the 0.5% Stripe Connect fee?
If you accept client payments through Hailo's built-in Stripe integration, Hailo applies a 0.5% application fee on top of Stripe's standard processing fees. This fee is disclosed before any payment is processed.
This is how Hailo can keep monthly pricing flat while still building serious payment features. You can always invoice clients outside Hailo (or with Square) if you prefer not to pay the fee.
Can I cancel anytime?
Yes — one click inside Hailo. Cancellation takes effect at the end of your current billing period; we don't pro-rate refunds for partial months, but we also won't auto-renew once you cancel. Your data stays accessible for 30 days after cancellation in case you change your mind.
Do you offer team or agency plans?
Not yet. Hailo is currently optimized for solo filmmakers and small studios. Multi-seat agency pricing is on the roadmap. If you're a studio that needs this now, tell us — early input shapes what we build.
Data & privacy
Where is my data stored?
Your media files (footage, deliveries) stay on your machine. Hailo is local-first — we don't upload 800 GB of wedding rushes to the cloud.
Your business records (clients, projects, invoices, etc.) are stored in our hosted backend so you can access them across devices. They're encrypted in transit and scoped to your account.
Do you use my footage to train AI?
No. Your footage never leaves your machine. Even the metadata Hailo produces (trim decisions, moment classifications) is yours — we don't aggregate it into a training corpus.
The AI models Hailo uses for trim and classification run locally on your machine, not on our servers.
What about my Gmail and Calendar — what does Hailo see there?
Hailo requests the minimum scopes needed:
gmail.send— send emails from your address. Hailo cannot read your inbox.calendar.events— create/update events for shoots. Hailo doesn't touch unrelated events.userinfo.email— confirm which Google account you connected.

Who at Hailo can see my data?
Nobody, by default. Customer data is access-restricted to a very small group (currently just the founder) and only accessed when you specifically request support, or when investigating abuse. We don't browse customer data for fun or for "insights."
If Hailo shuts down, can I export my data?
Yes. At any time you can export everything — clients, projects, invoices, communications, delivery analytics — as CSV/JSON. If Hailo ever shuts down for any reason, we'll give you 90 days' notice and tools to export everything before the lights go out. Your media is already on your machine, so that's never at risk.
Technical
What are the system requirements?
Mac running macOS 12 (Monterey) or later. Apple Silicon recommended (M1/M2/M3) for fastest footage processing — Intel Macs work but slower. Minimum 16 GB RAM, more is better for ingest. You'll want a fast external SSD or large internal storage for your footage.
Windows support is on the roadmap but not currently available.
Does Hailo work offline?
Mostly yes. Footage processing (trim, classify, multi-cam) runs entirely locally and works offline. Some features need internet: sending emails, syncing to Google Calendar, publishing delivery pages, payment processing. CRM data syncs to our backend when you have a connection.
How does Hailo handle large project files?
Hailo never copies your footage. It indexes the files in place and works with metadata. A 2 TB wedding project takes the same disk space whether you use Hailo or not — only an index file gets added.
Can I import projects from HoneyBook / Studio Ninja / Pixieset?
HoneyBook and Pixieset import are on the near-term roadmap. Studio Ninja is on the longer-term list. For now, contact support@hailo.studio if you're switching — we can usually help with a one-time migration manually.

Will Hailo ever support Windows / Linux?
Windows is on the long-term roadmap but it's not soon. The footage processing pipeline is built on Mac-native frameworks (AVFoundation, CoreML) and a Windows port is real work. Linux is not currently planned.
Will Hailo support photographers, not just video?
Some parts already do — the CRM, delivery pages, and scheduling work fine for photographers. The footage-specific features (trim, classify, multi-cam) don't apply to stills. A photographer-flavored version (RAW culling, stills-specific deliveries) is something we're scoping but not committing to yet.
