A Dubsado alternative for wedding videographers

A Dubsado alternative for a wedding film studio has to match the workflows first, and Hailo does: inquiry forms, proposals, contracts, payment plans and automations that move each couple along. Then it keeps going past the booking, into the footage and the delivered film.

What Dubsado is built to do

Dubsado describes itself as an all-in-one business management platform that puts proposals, contracts, invoices and scheduling in one flow, with workflows that move clients along. It says more than 30,000 creative businesses use it, naming photographers, designers, coaches, DJs, event planners and florists.

Its feature list covers lead capture forms, scheduling, contracts with e-signature, invoices and payment plans, questionnaires, a branded client portal, time tracking and reports, and a mobile app. Its integrations page adds Gmail, Microsoft 365 or SMTP email, payments through Stripe in more than 135 currencies, video call links, QuickBooks Online, Xero, custom domains and Zapier.

Workflows, the way Hailo does them

In Hailo they are called automations, and you build them on a visual canvas: a trigger, then emails, waits and checks that carry on only if the couple has paid or carries a tag. Starter sequences cover every stage from inquiry to anniversary, so you edit rather than start blank. A couple choosing from your investment guide can start the next step on its own.

One rule matters more than the rest. When the couple writes back, the sequence stops, so a planned nudge never lands on top of a real conversation. Replies come home to the lead they belong to, sent and received through your own Gmail or any mailbox. See automations in Hailo.

If you are comparing Dubsado competitors on workflows, test that stop-on-reply rule. What sets Hailo apart, though, is the work that starts after the wedding.

After the booking: footage and the film

Once the wedding is shot, the same app takes the footage:

  • Every card offloaded at once and verified file by file, with nothing on the card ever changed.
  • Each main camera clip labeled by moment with a sentence on what is in it, and a label fix that survives every re-run.
  • Shaky stretches trimmed, with a looser bar for the gimbal and a stricter one for the tripod.
  • Up to eight cameras synced into one multicam, with lavs and recorders where they belong.
  • The ceremony and the toasts cut for you, then opened in Premiere Pro, Final Cut Pro or DaVinci Resolve to finish. The ceremony edit explains what that cut looks like.

Delivery that closes the project

When the film is done, you pick the couple and drop the film in. Your 4K export is what the couple streams and keeps, on a page with your cover, an entry splash and a music bed. They can buy an extra edit or the raw footage right there. Publishing marks the project delivered, and anniversary emails go out on their own. Film delivery covers the whole page.

What you give up by leaving Dubsado

  • Users and brands. Dubsado's pricing page lets you add users with their own access and add extra brands. Hailo gives each studio one login and one brand, with no permissions to set.
  • Books and connectors. Dubsado lists QuickBooks Online, Xero and Zapier. Hailo has none of the three yet; finance reports export to CSV.
  • Currencies. Dubsado Payments covers more than 135 currencies. Hailo bills in the US, Canada, the UK and Australia.
  • Time tracking for client work. Hailo's timer counts the hours you spend in your editor, not general client tasks.
  • A mobile app. Hailo is desktop software for the Mac. Its office and delivery wings also load in any browser, phone included.

Is Hailo the right Dubsado alternative

If you run one brand, bill in one of those four countries and want a CRM for videographers that also does the groundwork of the edit, it is worth a trial. If you searched for Dubsado alternatives that are free, Hailo is not one: there is a free trial, then a paid plan (see pricing).

Moving from Dubsado to Hailo

  1. In Dubsado, export a Projects CSV for each project status you use, plus your Transactions CSV.
  2. In Hailo, open Settings > Import from another CRM and click Dubsado. Its card carries the One-click CSV import dot.
  3. Drop every Projects file on Clients / contacts and the Transactions file on Invoices & payments, then click Have Hailo sort it.
  4. Hailo lines the columns up with Dubsado's export for you. Read the preview totals and any skipped rows.
  5. Click Run import. Old inquiry dates are kept, so past leads do not crowd your pipeline.
  6. Rebuild your workflows from a starter automation and check balances in Finance > Invoices.

Questions filmmakers ask

How do I move from Dubsado to Hailo?

Export a Projects CSV for each status and your Transactions CSV, then drop them into Hailo's importer under Settings. Dubsado is one of the tools Hailo already has a column map for, so there is no matching to do, and the preview counts what will be created before anything is written. Workflows and templates do not travel in a CSV; you set those up fresh.

Does Hailo have workflows like Dubsado?

Yes, under the name automations. You wire a trigger to emails, waits and checks on a visual builder (carry on only if they have paid or carry a tag), and start from ready-made sequences for each stage. A sequence stops as soon as the couple replies. After delivery, Hailo also sends a check-in, a download reminder and an anniversary note.

Can I add my team to Hailo the way Dubsado allows users?

No. Every Hailo plan is a single seat, so there are no separate accounts or access settings for the people who work with you. Dubsado's pricing page lets you add users with per-user access, so a studio with several people working inside the CRM should weigh that. Multi-seat accounts are planned for Hailo, with no date yet.

Does Hailo sync with QuickBooks or Xero?

No. Dubsado lists QuickBooks Online sync and Xero; Hailo connects to neither today. Every finance report in Hailo exports to CSV for your accountant, and there is a sales tax report ready at tax time. You can log expenses against a couple, so a wedding's costs sit next to what it paid.
