A CRM with Gmail integration in one click

Open Settings > Integrations, click Connect Gmail, and sign in to the Google account your couples write to. Leave the box about sending email on your behalf ticked, approve, and the tile reads Connected with your address. Send test email sends a check message to your own address.

Hailo asks Google for one permission: to send as you. It does not read your inbox. That is the point of a CRM with Gmail integration: couples see your name and your address, and when they hit reply it goes straight back to the mailbox you already use.

Outlook, iCloud and your own domain

If you need a CRM with Outlook integration, the Custom Email tile covers Outlook and Microsoft 365, along with Fastmail, iCloud Mail, Zoho Mail and any mailbox on your own domain. Pick your provider and the server settings fill in for you, then paste an app password from your provider. Hailo never asks for your normal login password.

Verify & connect signs in before anything is saved, so a mistake shows up right away and the form stays filled in while you fix the one field that was wrong. If Gmail and a custom mailbox are both connected, Gmail sends.

Everything sends from the couple's record

There is no separate outbox. Proposals, invoice pay links, questionnaire links, booking links, gallery links and automation emails all go through the same connected mailbox, and the sent copy stays on the lead or client it went to. That is what a CRM with email integration should mean for a studio: the email and the couple live in one place.

On the Messages tab you write from scratch or start from a template, swap its mood, and send. When a partner's email is on file it is copied in for you. The composer sends text only; to attach a file, Open in Gmail carries your subject and body into Gmail, though an email finished there is not logged or tracked in Hailo.

Replies land on the right couple

Turn on reply capture once, from a card on the Integrations page that walks you through it, and each couple's reply shows on the Messages tab of the lead or client it belongs to. Either partner's address is matched, and once a couple books, their replies go on the client record. Mail from anyone who is not a lead or client is not kept, and nothing changes in your real inbox.

The bell rings with the couple's name and the first line of what they wrote. A conversation waiting on you carries a Needs reply chip until you answer, and a needs-reply count tells you who is still waiting. Hailo has no studio-wide inbox on purpose: replies live with the couple. Automations read the same replies, which is how a sequence knows to stop.

Delivered, opened, clicked

This is the CRM with email tracking part. Under every email you send from a record, and every automation email, a small line says Delivered, then Opened once the couple's mail app shows it. Hover for how many times it was opened and when. Each link someone clicks gets its own Clicked line with a count.

Email open tracking is a hint, not proof. Some mail apps, Apple Mail among them, load messages on their own, so an open can register before anyone reads it, and a couple with images turned off can read every word with no Opened line at all. A click needs a person, so it is the stronger signal, though a security scanner can occasionally click first.
