A CRM with Google Calendar integration and Apple Calendar sync

One calendar for the whole studio

Calendar in the sidebar shows every date Hailo knows about. Booked weddings share it with live leads on their hoped-for dates, discovery calls, time you have blocked off, edit sessions, and whatever is on your Google and Apple calendars. Switch between month, week, day and an agenda list, and use the filter pills to hide any kind.

It is a CRM calendar in the literal sense: click a wedding, lead or call and its record opens. A warning marks any day with two weddings on it, and the line at the top names your next shoot with its venue and how many days away it is.

What a CRM with Google Calendar integration should send and read

Connect Google under Settings > Integrations and weddings, consultations and deadlines go to the Google calendar you choose: your main one, or a dedicated weddings calendar. Each event carries the venue as its location and comes with reminders a week, a day and an hour before. Delete an event in Hailo and it leaves Google too.

The other direction is about your time. Add the other Google calendars you keep, such as a personal one or a second shooter's, and they show on Hailo's calendar. With one box ticked, busy time on any of them is held out of your call booking page, so a couple cannot book a discovery call over a family dinner.

Save the list and Hailo tells you straight away if it cannot read one of them, usually because that calendar is not shared with your connected account. The same connection gives every discovery call its own Google Meet link, and it is separate from your Gmail connection, so disconnecting one leaves the other alone.

Apple Calendar through iCloud

Not every studio runs on Google, which is why a CRM with Google Calendar integration only goes so far. Apple Calendar connects with an app-specific password, which you make once at appleid.apple.com under Sign-In and Security. Your Apple ID needs two-factor authentication turned on. Enter the password in Hailo with your Apple ID and click Test & connect; Hailo signs in before it saves anything.

From then on, new events you save in Hailo go to your default iCloud calendar, and your Apple events show on Hailo's calendar. Which iCloud calendar receives them follows iCloud's own default, not a setting in Hailo. Revoke the password at appleid.apple.com and the connection ends.

An iCal feed for every other app

For Outlook, Fastmail or a crew member's phone, Hailo has a read-only calendar feed, the kind most apps call an iCal feed. Click Subscribe on the calendar to copy the link, or Add to calendar under Settings > Integrations to open it in your Mac's calendar app. Any app that subscribes by URL can follow it, and it runs one way, from Hailo to that app.

Use the feed or a direct connection on a device, not both, or every wedding shows twice. If you shared the link with someone who should no longer see your schedule, Reset link gives you a new one and the old one stops updating.

Blocking days and moving weddings

To keep a day free, click it and choose a personal block: a general block, travel, unavailable or an edit day, once or repeating weekly or monthly. The same menu starts a new lead or a booked wedding with that date already filled in.

Drag a booked wedding or a block to another day to reschedule it, and a moved wedding goes back out to Google and Apple with its new date. When a couple books through your booking link, Hailo creates the wedding and sends it to your calendars without an extra click. The wedding record holds the times, venues, vendors and day-of timeline, and saving a change sends it out again.
