A CRM with email automation for wedding videographers
A CRM with email automation should do two jobs for a wedding studio: send the routine client emails on time, and step aside the moment a couple writes back. Hailo does both from your own address, so the proposal nudge, the questionnaire link and the anniversary note all arrive from you, in your words.

What a CRM with email automation should cover
A wedding books months ahead, and the emails stack up between the first inquiry and the delivered film: proposal follow-ups, a welcome packet, questionnaires, a payment reminder, a week-of note, editing updates, the delivery email, a review request and, a year later, an anniversary note. Most read the same for every couple apart from names, dates and venues. That is the part worth handing off.
When people say videographer workflow they usually mean the edit. This is the client side of it. A CRM with email automation runs the repeatable parts on a schedule and leaves the conversations that need you, like a changed timeline, in your hands.
Your address, your words, your timing
Every email leaves through a mailbox you already own, Gmail or another, so couples reply to the address they know. Connecting your mailbox covers which ones work, plus replies and tracking.
The words start from a library of about sixty starter templates, one for each moment from first inquiry to first anniversary. You duplicate one, rewrite it in your voice, and merge fields fill in names, dates, venues and your studio details as it goes out. The email template library shows every stage.
The timing comes from automations: a trigger such as a new lead, a signed contract or a date before the wedding, then emails, waits and checks. Eleven ready-made ones cover a job from inquiry to anniversary, and each arrives switched off until you have read it. See how automations are built.
The rule that keeps automation from sounding automated
Most email automation for small business assumes a mailing list. A wedding studio has a handful of couples, each at a different point, and the worst thing a sequence can do is send a checking-in note to someone who answered yesterday. In Hailo, an automation can halt as soon as a real person writes back, dropping whatever was still scheduled for that couple.
Replies also show up where you need them. With reply capture set up, a couple's answer is filed with that couple, Hailo counts who still needs a reply from you, and the emails you send from a couple's page and your automations show whether they were delivered, opened and clicked.
What Hailo's email is not
If you came looking for a CRM with email marketing, Hailo is not that. There are no newsletters, no broadcasts and no list sends: every email goes to one couple, a vendor or a planner, from their record. Zapier is not built yet either.
Two safeguards are worth knowing: nothing sends until a mailbox is connected, and no automation runs until you press Go live, so a half-built sequence never reaches anyone.
Getting your client emails running
- Open Settings > Integrations and connect Gmail in one click, or another mailbox with an app password.
- Open Templates > Email templates, duplicate the starters you use and rewrite them in your own voice.
- Open Templates > Automations and click + Add it on a starter such as Instant inquiry reply.
- Read each email in it, turn on Stop if they reply, then press Go live.
Questions filmmakers ask
What is CRM automation?
CRM automation is your client records doing routine work on their own when something happens: a lead arrives, a proposal goes out, a wedding date gets close. In a CRM with automation like Hailo, that means an automation sends a template email, waits, checks a condition such as whether they have paid, and carries on, for every couple who gets to that point. The conversations that matter are still yours to write.
What emails should a wedding videographer automate?
Automate the ones that read the same for every couple apart from the details. Hailo's starters cover the usual run: an inquiry reply, two proposal follow-ups, a welcome packet on booking, three pre-wedding questionnaires, a final payment reminder, a week-of note, a next-day thank-you with a teaser a few days later, editing updates, delivery with review and referral requests, a keepsake drive offer and a one-year anniversary note.
Will automated emails keep sending after a couple replies?
Not if you switch on Stop if they reply for that automation. When the couple answers, every step still waiting for them is dropped, and the steps that already ran stay on their record. Hailo has to see the reply for this to work, so set up reply capture once from the Integrations page. With the switch off, the sequence keeps going.
Can I send from my own Gmail or Outlook address?
Yes. Gmail connects in one click. Outlook, Microsoft 365, Fastmail, iCloud Mail, Zoho Mail and custom-domain mailboxes use an app password your provider issues, never your normal login password. Everything Hailo sends, by hand or from an automation, goes out from that address, so couples reply straight to your real inbox. With both connected, Gmail is used.
