Email that writes back

Wedding videographer email templates for every stage

Wedding videographer email templates in Hailo begin as a starter library of about sixty emails, one for each moment from the first inquiry to the first anniversary. Duplicate one, rewrite it in your own voice, and merge fields fill in the couple's names, the date, the venue and your details every time it goes out.

A full draft for every email you send

Most of what a filmmaker sends is the same email with different names on it. Search for templates and much of what comes back is wedding photographer email templates, which leaves you swapping photos for film line by line. Hailo's starters are written for a film studio: editing has started, a mid-edit update, the highlight film is ready, the raw footage is coming.

The library is read-only so it always stays as a fallback. Click Duplicate on any starter and the builder opens on your own copy. It keeps the same name, which matters: the composer and your automations pick templates by name, so they use your wording from then on.

Wedding videographer email templates by stage

Each template belongs to a stage of the client journey, and the list filters by stage with one click. Here is what each stage holds:

  • Before booking: the inquiry reply, a discovery call invite and proposal follow-ups.
  • Booking: the contract, the retainer, and a welcome packet that doubles as your booking confirmation email template.
  • Planning: check-ins, questionnaires and the final payment.
  • Wedding day: arrival details, the next-day thank-you and the teaser drop.
  • Production: editing started, a mid-edit update, in final review, and delays.
  • Delivery and after: the highlight film, the ceremony film, raw footage, a keepsake drive, a parent edit, and notes at one month, six months and one year.
  • Running the business: a reschedule, a cancellation, a refund, out of office and a price increase, plus planner and vendor emails.

One email, several moods

Every template has a mood, and one email can exist in several under the same name: a standard version plus warm, professional, fun or joking. To make one, click an empty mood in the strip at the top of the builder. It copies the subject and body from the version you are on, so you rewrite from a full draft rather than a blank page.

In the composer on a lead, the moods show as pills you can swap between before sending. An automation has no pills: it sends your own template with that name if you have one, otherwise the starter. Each template also names who it is written to, a couple, a vendor or a planner, and the merge fields on offer change to match.

Merge fields that fill themselves

Email merge fields are placeholders in double curly braces that Hailo swaps for the real value at the moment of sending. Most fill themselves from the couple's record, the wedding or your studio profile: both partners' names, a greeting that never reads "Hi Alex and ," when one name is missing, the wedding date and day, the venues, the planner and photographer, your scheduling link and the couple's gallery link.

A few have nothing to read from, such as an amount (filled for you only on invoice, payment reminder and booking-link emails), a passcode or a delay reason, so you type those in before you send. Keep them out of any template an automation sends, because nobody is there to fill the blank. The live preview flags a field it cannot fill, and Send myself a test delivers the saved version to your studio email, rendered for a sample couple.

Answering an inquiry fast

A wedding inquiry email template usually means a couple writing to vendors. Yours is the other side: the inquiry response email. The template named Inquiry auto-reply is what Hailo sends to leads you add by hand or import when auto-reply is on, and each inquiry form can carry its own auto-reply in your words. The Instant inquiry reply starter automation sends it the minute a lead lands, then a discovery call invite two days later.

One limit: the composer on a lead or client offers only before-booking and custom templates. The rest go out through automations, by name, so check those automations if you rename or delete a template.

How you use it in Hailo

  1. Click Templates in the sidebar, then Browse on the Email templates tile.
  2. Filter by a stage, find a starter and click Duplicate. The builder opens on your copy.
  3. Rewrite the subject and body, and use Insert merge tag for names, dates and venues.
  4. Check the live preview, click Save, then Send myself a test.
  5. Send it from the Messages tab on a lead, or pick it in an automation's Send email step.

Questions filmmakers ask

How should a wedding videographer respond to an inquiry?

Quickly, by name, and with one clear next step, usually a call. In Hailo an auto-reply goes out moments after a couple inquires, through your own mailbox and in your words, so they know you have their message. The Instant inquiry reply starter follows it with a discovery call invite two days later. Their actual questions still deserve a reply you write yourself.

What emails does a wedding videographer send?

More than most couples realize: an inquiry reply, proposal follow-ups, a contract and retainer email, a welcome packet, questionnaires, a final payment reminder, arrival details, a thank-you and teaser, editing updates, delivery emails for each film, upsell offers and anniversary notes. Hailo's starter library of wedding videographer email templates covers that run in about sixty emails, plus notes to planners and vendors.

What should a follow-up email say when a couple goes quiet?

Keep it short and easy to answer: remind them what you sent, ask one question, and make the next step obvious. Hailo's library includes two proposal follow-ups, the second marked as a final nudge, and the Proposal follow-ups automation sends them four days apart. Turn on Stop if they reply so a couple who already wrote back never gets a checking-in email.

What are merge fields?

Merge fields are placeholders such as {{first_name}} that Hailo replaces with the real value when an email is sent or previewed. Most fill themselves from the lead, the wedding or your studio profile. A smaller group, like {{amount}} or {{due_date}}, have no record behind them, so you type the value before sending. A field Hailo cannot fill shows as missing in the preview.
