What a videography invoice template should include

Whether you start from a free videographer invoice template or build your own, a wedding invoice needs the same parts.

• Your studio: name, logo and email, so it is clear who it is from.
• An invoice number and issue date, for your records and theirs.
• Billed to: the couple, and the email the invoice goes to.
• What it covers: the coverage and the films, in plain words.
• Your price and the sales tax, shown as separate lines.
• Payments received, each with its method and date, then what is still owed.
• A due date, and for a split balance, each payment's label, amount and date.
• A way to pay: a link, not only bank details at the bottom.

A wedding videography invoice example

Here is how one reads in Hailo. Your logo and details sit at the top, then the invoice number, the issue date and a Pay by date. Billed to names the couple. For says what the money covers, such as wedding day coverage, a highlight film and the full ceremony edit. Under your price sit a sales tax line, a payment already made by card with its date, and Still owed with the balance.

Most free templates, whether billed as a freelance videographer invoice template or a video production invoice template, are Word, Excel or PDF files you fill in, export and attach. Hailo does not offer one to download. The invoice is the page itself, and the couple opens that same page from a link and pays on it, so there is no file to keep in step with what you charged.

Editing the invoice on the page

Open any invoice and you see it as the couple will. Every field you can change is styled as text: click it and type. The price, the due date, the description and the tax all edit in place, and a bar appears when something has changed so you can save it. Preview client view shows the couple's side.

Two choices live on the document too. You can split the invoice into up to three installments, each with a label, amount and date, and the couple sees that plan with each part marked paid as it settles. When it is ready, Send it emails the couple from your connected mailbox with the balance, the due date and the link. Without a mailbox, it is still marked sent and Hailo gives you the link to share.

Invoices you never have to write

No videography invoice template fills itself in, but in Hailo most of a wedding's invoices are raised for you. When a couple signs and pays the deposit on their booking link, Hailo creates an invoice for each later payment in the schedule, marked sent, with its own due date and its share of any sales tax. Each shows in your list with "from proposal" under the couple's name, and in the couple's portal.

Overdue at a glance, and early money kept apart

Finance > Invoices sorts every invoice into draft, sent, partial, paid, overdue and void, with a count on each. Columns show the total, what has been paid and the balance, red when late, beside a due date in plain words such as "in 12 days".

Because weddings book far ahead, Unpaid groups open balances by when they land rather than by age: late, the next few weeks, later this year and next year. It also flags any balance with no due date, since nothing will ever mark that one late. The Finance page holds the rest of your numbers, and the Bookings list shows every signed contract with its total and what has been paid.
