Invoicing software for wedding videographers

Invoicing software for videographers has to follow a wedding from a contract signed as much as eighteen months ahead all the way to the final balance. In Hailo the deposit is paid on the booking link, every later payment becomes an invoice with its own due date, and couples pay by card or ACH through your own Stripe or Square account, with 0% to Hailo.

What invoicing software for videographers has to handle

A typical invoice covers a job that is billed and paid within a few weeks. A wedding film is paid in pieces over a long stretch, so most of what couples owe you on any given day is not late. It simply has not come due yet.

Billing software for photographers and filmmakers has one job: tie each payment to the wedding date, give the couple a pay link that works on a phone, and show you who owes what and when. If you are comparing the best invoicing software for photographers and videographers, ask whether the schedule follows the wedding. In Hailo it does, right beside the proposal and the contract.

From signed contract to final balance

You set the payment schedule on the booking before you send it: a deposit, then as many later payments as you like, each due on a date or a set time before or after the wedding. When the couple signs and pays the deposit, Hailo makes them a client and raises an invoice for every later payment, already marked sent. The page on retainers and payment plans covers the schedule and the presets that save it.

A custom charge, or a wedding that never went through a proposal, gets an invoice you build by hand and edit on the page the couple will see. What a wedding videographer invoice should show, field by field, is on the videography invoice template page.

How couples pay, and what reaches you

Card, Apple Pay and ACH go through your own Stripe account, and cards can also go through Square. None of that money is shared with Hailo (0%), though your processor's usual fees still apply. Venmo, Cash App, Zelle, checks and wires never pass through Hailo at all; the couple says they sent it, and you mark it paid once it shows up. How to accept payments as a videographer goes through each method.

Chasing balances can run on its own too. Switch reminders on and couples hear about a payment coming up or gone late in an email from your address, never a charge to their card. See automatic payment reminders.

Where you see what is owed

Three views answer the question of who owes you. Invoices filters by status, from draft to paid. Unpaid sorts open balances into what is late and what is merely coming. Bookings lines up every signed contract against the money received so far.

As invoicing software for videographers, Hailo stops short of your books. It is not accounting software: Finance reports export to CSV for your accountant, and QuickBooks is not connected today. Billing works in the US, Canada, the UK and Australia, and couples are charged in your own money.

Getting paid in Hailo, start to finish

  1. Connect Stripe or Square under Settings > Integrations, then switch on the ways you accept under Settings > Client payment methods.
  2. On a lead's Booking tab, set the deposit and split the balance under Payments, or load a saved preset.
  3. Send the booking link. The couple signs and pays the deposit on the same page.
  4. Hailo raises an invoice for each later payment and reminds the couple as each one comes due.
  5. Check Finance > Unpaid for what is late.

Questions filmmakers ask

What should a videography invoice include?

Enough that the couple never has to ask: who sent it, a number, what it is for, the price with tax broken out, anything already paid, and how much is left by when. In Hailo the invoice also carries the button they pay with.

How do I take a deposit and split the rest into payments?

Build the schedule into the booking. Its first row is the deposit, due at signing, and every row after it carries an amount and a date, either fixed or counted from the wedding day. The couple signs and pays the deposit on one link, and each later payment turns into its own invoice automatically. A saved preset repeats the split next time.

Can couples pay by card, ACH, Venmo or Zelle?

Yes. Card, Apple Pay, Google Pay and ACH go through your own Stripe account, and cards can also go through Square. Venmo, Cash App, Zelle, paper checks and wires appear as instructions with your details. Those go directly from the couple's account to yours, and the invoice changes only after you confirm the money landed.

Who pays the card processing fee?

You do, or they do: the choice is a studio-wide setting that any single invoice can overrule. A passed-on fee appears at checkout under its own name, Card processing fee. Manual methods never carry it, and Hailo adds no fee of its own. Some states restrict card surcharges, so check yours first.
