A videography booking form couples finish in one sitting

A videography booking form should let a couple say yes in one sitting, and in Hailo it is a single link: the proposal, the contract, your questionnaire and the deposit, one after another on one page. They review, sign and pay from their phone, and the moment the deposit lands, Hailo sets up the client, the wedding date and the invoices still to come.

One booking link

Proposal, contract, questionnaire and deposit in a single link.

One link instead of four attachments

Hailo's videography booking form is a page, not a form builder. Across the top runs a strip of four steps: Review, Sign, Questions and Pay. Only the steps you turn on exist, so a couple who does not need a questionnaire never sees an empty one, and finished steps stay clickable if they want to look back.

Review shows the line items and the total, plus any optional extras you set aside, which they can tick while the total updates. Sign holds the contract and the signature pad. Questions is your intake questionnaire. Pay opens only once the contract is signed.

If you have used a wedding photography booking form or a client booking form that collects details first and emails a contract later, the difference is that nothing here arrives separately.

Build the videography booking form on the lead

Open the lead's Booking tab and choose All-in-one booking. Pick a layout or one of your saved presets, and the proposal appears with the couple's name, date and venue already filled in. Then work down the steps: which sections show, the packages from your catalog, the contract, the questionnaire and the payments.

Payments are a schedule, not one number. The first row is always the deposit, as a percentage or a flat amount, and you add a final payment or split the balance into as many as you like. Each one is due when the contract is signed, a set time before the wedding, or after it. The link expires 30 days after you make it, and the page then tells the couple so. Retainers and payment plans goes deeper on the schedule.

Email to client opens a message with the link already written and publishes the link as it sends, so a couple never opens a dead draft.

How couples pay

Once they have signed, the couple chooses from the methods you switched on: card through your own Stripe account (Visa, Mastercard, Amex and Apple Pay) or through Square, both of which confirm on their own, or Venmo, Cash App, Zelle, a paper check or a wire.

For the manual methods the couple taps I sent it, with an optional note. That moves no money. It tells you to check your account, and you confirm the payment on the booking when it arrives. Hailo takes 0% of what your couples pay you. Taking payments from couples covers setting each method up.

What happens when the deposit lands

This is the automated client onboarding part, the job people usually buy client onboarding software for. The moment a card payment confirms, or you confirm a manual one, Hailo takes care of the rest:

  • Marks the booking paid and the lead booked, and turns the lead into a client.
  • Creates the wedding event from the proposal's date and venue and puts it on your calendar.
  • Raises an invoice for each remaining payment in the schedule, each with its due date, and sends the reminders.
  • Sets up the footage project and a draft delivery gallery.
  • Gives the couple a client portal, one page with their proposal, contract, invoices and questionnaire.

How you use it in Hailo

  1. On the lead, open the Booking tab and choose All-in-one booking.
  2. Pick a layout or a saved preset. The couple's name, date and venue fill in.
  3. Add packages from your catalog, then attach the contract and the questionnaire.
  4. Set the deposit and the payment schedule, or load a saved preset.
  5. Click Email to client to send it, which also publishes the link.
  6. Countersign once the retainer lands, and the booking is locked.

Questions filmmakers ask

How do couples book a wedding videographer online?

With one link that holds everything needed to say yes. In Hailo the couple reviews the proposal, signs the contract, answers your questions and pays the deposit on one page, in one sitting, without an account. An online booking system for photographers often means picking a session time; booking a wedding means agreeing to terms and paying a retainer, which is what this page is for.

How much deposit should a wedding videographer take?

That is your call, and Hailo does not recommend a figure. You set the deposit on each booking as a percentage of the total or a flat amount, due when the contract is signed, and split the rest however you like. Save the split you always use as a payment preset so the next booking loads it in one click. Your contract should say what happens to the deposit if plans change.

Can couples sign and pay the deposit from their phone?

Yes. The booking page works on a phone from top to bottom: they draw their signature with a finger or type it, then pay by card, Apple Pay, Venmo, Cash App or Zelle. Venmo opens from a button with the amount ready, and card checkout confirms on its own. Payment waits until they have signed, so the order is always sign, then pay.

What happens after a couple books?

Hailo does the setup for you. The lead becomes a client, the wedding event is created from the proposal's date and venue and added to your calendar, an invoice is raised for each remaining payment with its due date and reminders, and the footage project and a draft gallery are ready. You countersign the contract to lock it, and the couple gets their signed PDF.
