Before the wedding

A client portal for wedding videographers

A client portal for videographers gives every couple one page to bookmark, where their proposal, contract, invoices, questionnaire and finished film all live. In Hailo it appears the moment a lead becomes a client and fills itself as you send things, so you never have to resend a link.

What a client portal for videographers does

A client portal is one private page per client that gathers everything you have sent them. If you have used a client portal for photographers, the idea is the same, but a wedding film stretches the job out further: the contract is signed many months before the film is ready, and the couple needs one place to come back to at every step in between.

Whether you call it a client portal for creatives, a photography client portal or a wedding client portal, the test is the same. Can the couple find the next thing they need without emailing you to ask for the link again?

What couples find in their portal

The page is headed with their names and the words Your wedding film, and asks them to bookmark it. Below that is one card for each part of the wedding:

  • Proposal: their film package and pricing, with View proposal.
  • Contract and booking: sign and pay to lock the date, with Review & sign.
  • Invoices: every invoice you have sent, with View & pay, then Paid once it is settled.
  • Questionnaire: Fill out, then Completed once they submit it.
  • Your film: Watch your film, once its gallery is published.

Nothing shows before it is ready

Each item carries a small status word, such as Sent, Viewed, Paid or Ready, so the couple can tell at a glance what still needs them. A proposal shows once it is sent, the booking once it is published, an invoice once it is sent, a questionnaire once you send it, and a film once its gallery is published. Drafts never show.

Before anything goes out, the page simply tells the couple their filmmaker will add the proposal and details soon. The portal itself arrives when the couple becomes a client, either by booking through your booking link or when you convert them by hand.

Your brand, and your own web address

The portal wears your brand kit, with your logo, fonts and colors rather than Hailo's. People searching for a white label client portal usually want exactly that: a page that looks like their studio.

You can also put it on your own web address, such as clients.yourstudio.com, the same address your proposals, contracts and invoices open on once you connect it. Setting it up takes one record at whoever manages your domain, and until the address is live the portal keeps working on its Hailo link.

Built for the long wait before the film

For a filmmaker the portal does its best work late. Months after the contract, the same bookmarked page shows a new card when you publish the gallery, so the couple goes from paying their last invoice to watching their film without hunting through email. That is where a client portal for videographers earns its place over one built for a single shoot.

The film card opens the delivery gallery you designed, with the film streaming in the quality you uploaded and downloads if you allow them.

How you share a couple's portal in Hailo

  1. Book the couple through your booking link, or click Convert to client on the lead.
  2. Open the client record and click Client portal in the header to see the page as they will.
  3. Click Copy link and send it to the couple.
  4. Send the proposal, invoices and questionnaire as usual. Each appears in the portal once it is sent.
  5. Publish the film's gallery, and a Your film card appears with a button to watch it.

Questions filmmakers ask

What is a client portal?

A client portal is one private page where a client finds everything you have sent them. In Hailo, each couple's portal holds their proposal, contract and booking, invoices, questionnaire and finished film, each with a status such as Sent, Paid or Ready, so they bookmark one link instead of searching their inbox for five.

What should a wedding client portal include?

Everything the couple has to read, sign, pay or fill in, plus the film at the end. Hailo's portal shows the proposal, the contract and booking, every sent invoice with a pay button, the questionnaire, and the finished film once its gallery is published. Drafts stay hidden, so the couple only ever sees what is ready for them.

Can the portal be on my own domain?

Yes. Hailo can open the portal on your own web address, such as clients.yourstudio.com, the same one your proposals, contracts and invoices use once you connect it. Setup is one record at whoever manages your domain. Until it is live, the portal keeps working on its Hailo link, so nothing breaks while you set it up.

Do couples need a login to see their portal?

No. The portal is a private link you send them. The couple opens it in any browser, on a phone or a laptop, and bookmarks it. There is no account to create and no password to remember, so nothing stands between a couple and their invoice, their questionnaire or their film.
