Before the wedding

A wedding videographer questionnaire couples fill in online

A wedding videographer questionnaire gets the details you need to plan the film (the times, the places, the people and the music) out of the couple's heads and into your project. Hailo builds one in four steps, sends it from a client, a booking or an automation, and brings every answer back to the couple it belongs to.

Questions to ask the couple before the wedding

This page is the filmmaker's side of the conversation: what you ask a couple after they book you, not what couples ask when they are choosing a videographer. If you searched for wedding videographer questions to ask client couples, these twelve are a fair place to start. Keep the ones that change how you film and drop the rest.

  • What time does the ceremony start, and where is each of you getting ready?
  • Who is your planner or day-of coordinator, and how do we reach them on the day?
  • Who else is on the vendor team: photographer, DJ or band, officiant?
  • Will your officiant allow a microphone, and are there rules about where we can stand or move during the ceremony?
  • Are you writing your own vows, and is anyone reading, singing or performing?
  • Who is giving toasts, and in what order?
  • Which people matter most to you, so we make sure they are in the film?
  • Is there anything about family we should know, such as someone who would rather not be filmed?
  • Is the ceremony unplugged, or are guests free to use their phones?
  • Are there songs that mean something to you, and any you never want to hear in your film?
  • Do you have any surprises planned, for each other or for your guests?
  • Years from now, when you watch your film, what do you want to feel?

Build your wedding videographer questionnaire in four steps

Questionnaires live under Templates, so you write a videography client questionnaire once and send it to every couple. The builder walks four steps: Details (a name the couple sees as the title, plus an internal note only you see), Questions, Welcome & thanks, and Review & send.

Each question is short text, long text, multiple choice or checkbox, with an optional required flag and help text under the field. Reorder with the arrows, open any question to edit it beside a live preview, then wrap the form with an intro in your own voice and a thank-you message for after they submit. Preview as the couple shows exactly what they will open.

There is no wedding videography questionnaire template to download from Hailo. The template is the one you build, and when your theme is set to custom, the form wears your brand's colors and fonts.

Send it three ways

From a client. Open the client's Forms tab, pick the questionnaire and click Send. Hailo emails that couple their own link from your connected mailbox.

On a booking. Attach it to the booking link and it becomes the Questions step, between signing and paying. The wording is frozen when you publish, so later edits to the template never change what that couple was asked. The one booking link shows the whole page.

From an automation. Drop a Send questionnaire block into any automation. The Pre-wedding questionnaires starter sends a timeline questionnaire, then music and song preferences, then special people and moments, landing 90, 60 and 30 days before the wedding. See client automations.

One limit worth knowing: a lead who has not booked yet has no Forms tab, so attach the questionnaire to their booking instead.

Where the answers land

Every wedding videographer questionnaire you send comes back attached to the couple's project. The client's Forms tab lists each send with its link and status (sent, opened or completed), and the answers appear right there once they submit, every ticked box included.

The couple can find it again, too. The questionnaire shows up as its own card in their client portal, marked Fill out until they submit and Completed after.

From there it is your planning: you add the must-have people to that couple's copy of your shot list, and the times to the day-of timeline on their wedding record.

How you use it in Hailo

  1. Open Templates > Questionnaires and click New questionnaire.
  2. Name it and add an internal note on when to send it.
  3. Add your questions, pick a type for each, and mark the ones that are required.
  4. Write a short intro and a thank-you message.
  5. Click Preview as the couple, then Done.
  6. Send it from a client's Forms tab, attach it to a booking, or add it to an automation.

Questions filmmakers ask

What questions should a wedding videographer ask the couple?

Ask what changes how you film: the times and places, the planner and other vendors, the officiant's rules on microphones and movement, who is giving toasts and in what order, the people who matter most, family situations to handle gently, songs they love or never want, and any surprises. The list on this page has twelve to start from, so keep the ones that fit your style.

When should I send the wedding questionnaire?

Close enough to the wedding that plans are firm, and early enough that you can plan around the answers. One way is to split it: a few basics when the couple books, the details later. Hailo's Pre-wedding questionnaires starter handles the later part at 90, 60 and 30 days before the date, and you can change those days to suit how you work.

Can the questionnaire go out automatically after booking?

Yes, two ways. Attach it to the booking link and the couple answers it inside the booking, between signing and paying. Or build an automation that starts when a lead becomes booked and add a Send questionnaire block after it, with a wait in between if you want a few days' gap. Either way, nobody has to remember to send it.

Where do the answers go?

Onto the couple's project. Every send is listed on the client's Forms tab with its status (sent, opened or completed), and the answers appear there as soon as the couple submits. The couple sees the questionnaire as a card in their client portal, so they can find it again. That makes your wedding client questionnaire part of the couple's record, not a loose email.
