Studio management software for wedding filmmakers

Studio management software for wedding filmmakers should know your week before you do. Hailo opens on a dashboard with your next wedding, your active leads and your money, answers questions from your own records, and keeps every wedding, call and edit day on one calendar.

A dashboard that knows your week

Manage opens on the dashboard: the date, the weather where you are, a greeting on your own time zone and one line about what is next, such as a wedding in four days or the films on the bench. Under it sit six tiles: active leads, booked clients, next shoot, upcoming weddings, revenue (this year so far, or still to collect) and goals. Each tile opens the list behind it.

Everything below the tiles is a widget you choose. Click Widgets, drag them into the order you want, hide what you never look at and bring back the rest from the tray: edit time, money, momentum, goals, leads to chase, proposals out, films in the queue, shoot prep for your next wedding and more. It is a small business dashboard shaped around weddings, and your layout follows you to any Mac you sign in on. The money and goal widgets are covered under finance and goals.

Ask, search and get notified

The bar under the greeting is Ask Hailo. Type a question such as which couples have a balance due this month, and it answers from your own leads, clients, invoices and calendar. More on that under the AI assistant.

Press ⌘K anywhere for quick search. It finds any lead, client, vendor, proposal, invoice, package or page from part of its name, and opens some records in a side drawer so you can check a detail without leaving the screen you were on. With nothing typed, it works as a jump menu.

The bell in the top bar collects what happened across all three wings: a new inquiry, a signed contract, a payment, a finished analysis, a couple opening their gallery or downloading the film. Under Settings you choose which events ring the bell, which also email you, and whether those emails arrive at once or as a daily or weekly digest.

Studio management software with one calendar

Booked weddings, pencilled-in leads, discovery calls, your own blocks and edit days share one calendar, in month, week, day and list views. Click an empty day to add a block, a new lead or a booked event, and drag a wedding to move it. Google and Apple calendars sync with it, and a feed link puts it in any other calendar app. The details are under calendar sync.

On your Mac, and in a browser when you are out

Hailo is a Mac app, and Manage and Deliver also open in any browser at app.hailo.studio, so you can send an invoice or check a gallery from your phone between shoots. The footage side stays on the Mac, with your drive plugged in.

When something looks off, the Feedback tile at the bottom of the sidebar sends a note to Hailo from any screen, with a screenshot of what you are looking at attached in one click.

How you make the dashboard yours

  1. Open Manage. The dashboard is the first screen.
  2. Click Widgets, drag the ones you want into place and hide the rest, then click Done.
  3. Type a question into Ask Hailo… under the greeting.
  4. Press ⌘K to jump to any couple, invoice or page.
  5. Choose what rings the bell under Settings > Notifications.

Questions filmmakers ask

What is studio management software?

It is the software a small creative business runs on: inquiries and clients, proposals and contracts, invoices and payments, a calendar, and a view of how the business is doing. For a wedding film studio, Hailo adds the footage side and the delivery gallery, so the whole job from inquiry to delivered film sits in one app.

What should studio management software include?

A dashboard that tells you what needs you today, one calendar for weddings and calls, a fast way to find any record, notifications you control, and the front office itself: leads, proposals, contracts, invoices and reminders. For filmmakers it helps when it knows about the edit too, and Hailo's dashboard can show editing hours, films on the bench and films waiting to start.

Is there studio management software made for videographers?

Yes. Most of the category is sold as studio management software for photographers, but Hailo is made for wedding filmmakers. Beyond the front office it offloads and sorts your footage, syncs every camera, builds ceremony and speeches films that open in Premiere Pro, Final Cut Pro or DaVinci Resolve, and delivers the finished film in 4K.

Can I use it on my phone as well as my Mac?

Partly. Manage and Deliver open in any browser at app.hailo.studio, so you can reply to a lead, send an invoice or check a gallery from your phone. There is no iPhone or iPad app, and the footage side needs your Mac with the drive plugged in. Your first setup also happens in the Mac app.
