Organize wedding footage for editing before you touch a timeline
How to organize footage for editing a wedding comes down to two jobs: get every card onto a drive safely, then know what each folder holds before you open a timeline. Hailo does both. It offloads every card at once, checked file by file, then reads the wedding folder, works out the cameras, frame rates and recorders, and sorts the day before your editor sees a clip.

A folder structure for video editing that holds a whole wedding
Ask how to organize video files for editing and most editors describe the same layout: one folder per wedding, a folder inside it for each camera or card, one for audio, one for drone, and every file keeping the name the camera gave it. A clip that goes missing is then easy to trace back to its card.
Hailo's offload builds that layout for you. The wedding folder is named after the couple, and each card lands in a folder named by the role you tap: A-Cam, B-Cam, Drone, Audio, Gimbal. Nothing on a card is renamed and nothing on your drive is overwritten. The copy itself has its own page.
Folder labels tell Hailo what it is looking at
Drop the wedding folder and Hailo walks every subfolder, counts the clips and audio, and puts its guess beside each row. Change any guess you disagree with. Your choice always wins.
- Main footage: your highlight cameras, every clip under your length limit labeled by moment.
- Long-form: the full ceremony, toasts and dances, kept for the ceremony and speeches films.
- Drone and Action camera: not analyzed, so they cost nothing.
- Audio: recorder, lav and wireless-mic files, used for sync.
- Don't include: stills, a personal folder, anything that is not this wedding.
How to organize footage for editing by moment, not only by camera
Folders by camera are how footage arrives. Moments are how a film gets cut. Once Hailo has sorted the clips, your editor gets them in the order of the day: one bin per moment, a timeline per moment, or one timeline in story order, with moment colors in Premiere Pro and DaVinci Resolve. That is the slow part of organizing footage in Premiere Pro, Final Cut Pro or DaVinci Resolve, done before you open them. How each clip gets its label is on the AI culling page.
A wedding that runs over several days keeps each day apart, as the multi-day page shows.
Start it tonight, pick it up whenever
You see a token quote before anything runs, and it moves as you change folder labels. A run can stop and resume where it left off. Quit Hailo halfway and it asks first, keeps every finished stage, and carries on next time. Your original footage stays on your Mac the whole time.
How you use it in Hailo
- Plug in your cards and click the Card detected toast, or click Offload footage on the Edit launchpad.
- Pick the couple and a drive, tap a role for each card, and let every card copy at once.
- Click Start the edit when the copy is verified, or click Sort a wedding and drop a folder you already have.
- Check the label beside each folder and fix any wrong guess.
- Confirm each day if the wedding ran over several, then start the run.
- Open the finished project in your editor, already in day order.
Questions filmmakers ask
What is the best folder structure for video editing?
One folder per project, with a subfolder for each camera or card, one for audio and one for drone, and the original file names left alone. Keep project files and exports outside the footage folders so a relink always finds the media. Hailo's offload creates this layout for every wedding.
How do you organize footage before editing a wedding?
Copy and verify every card, give each folder a clear role, then sort the clips by part of the day. That is how to organize footage for editing in Hailo, in one pass: offload, confirm the folder labels it guessed, and let it label every main camera clip by moment.
Should wedding clips be sorted by moment or by camera?
Both, in different places. Keep folders by camera on disk, because that is how you trace a clip to its card. Sort by moment inside the project, because that is how you cut. Hailo leaves your camera folders as they are and builds the moment bins in your editor.
How do I organize footage in Premiere Pro?
Most editors make bins by camera or moment and color the clips with labels. Hailo hands Premiere Pro one bin per moment in day order, a timeline per moment, or one timeline in story order, each moment in its own color. Final Cut Pro and DaVinci Resolve get the same layouts, and Final Cut Pro colors by role instead.
How long does it take to offload a wedding?
It depends on how much you shot and how fast your cards and readers are, so there is no honest single number. Hailo runs all your cards and readers side by side instead of one after another, and you can insert the next card while the others are still going.
