Wedding videography proposal templates you edit on the page
A wedding videography proposal template should look like your studio, not a spreadsheet, and Hailo gives you four designs to start from that you edit right on the page. Couples choose a package and add-ons, see the total, and click through to sign and pay. To be clear, this is the proposal you send a couple, not a film of someone popping the question.

Four wedding videography proposal templates to start from
Whether you call it a videographer proposal template or a client proposal, in Hailo it is a design you edit inside the app, not a Word file to download. Each design sets the typography, colors, photo treatment and order of sections, and every section stays editable. Preview any of them with a sample couple and sample photos before you commit.
- Editorial Cream, the default: warm cream paper, italic serif headlines, hand-drawn line dividers and a grid of select films.
- Wild Hearts: cinematic and all black and white, with a full-bleed couple photo on the cover.
- Minimal Guide: a pricing-guide skeleton turned into a film proposal, with one centered pricing card.
- Bold Couture: massive block headlines and film grain, built for the moment after the client call.
Edit the page the couple will read
You do not fill in a form and hope the result looks right. Click any text on the proposal and type: the title, the welcome note, the story of their day, the section about you, the line item names. A formatting bar handles font, size, color, spacing and alignment, and the fonts you uploaded are in the list.
Click a photo to replace it, paste a YouTube or Vimeo link to add a film with its thumbnail, drag sections into a new order, or switch on free mode and place elements wherever you like. Every change saves as you make it, and the couple's names, date and venue fill in from the lead. If you have worked from a photography proposal template before, the difference is that nothing here needs exporting.
Settings that do not live on the page (who it is for, the pricing, the contract, brand colors and the deposit) sit together in one Advanced settings panel. That panel is where a wedding videography proposal template becomes one couple's proposal.
Proposal, quote or both
A videography quote template gives a couple a number and the line items behind it. A proposal does that and also makes the case for you: your films, your approach, what their day will look like. In Hailo the investment table on the proposal is the quote. Anyone hunting for a wedding videography quote template will find that table is the part they wanted, inside a page that also sells.
Line items come from your catalog: packages, a la carte add-ons, or a custom line such as travel that exists on this proposal only. Optional items carry a toggle, so the couple can leave one off before they sign. The videographer pricing guide page covers building that catalog.
Presets, sending and expiry
Once a proposal looks the way you want, save it as a preset: the layout, photos, films, fonts, packages and contract, with the couple left out. The next lead starts from it with their own name, date and venue stamped in, so your best videography proposal example becomes the starting point for every new one.
Review and email hands the proposal to the lead's messages with the link already written, sent from your own mailbox. The status moves from Sent to Viewed the first time the couple opens it, and their Sign & pay button opens the one booking link, where they sign the contract and pay the deposit.
Every proposal expires 30 days after it is created. After that the page tells the couple the pricing is no longer current and offers a button to email you for an updated one. An accepted proposal never expires.
How you use it in Hailo
- Open Templates > Proposal templates, preview the designs and click Create Proposal, or start from a lead's Booking tab.
- Click anything on the page to edit it, and swap the sample photos and films for your own.
- In Advanced settings, set Prepared for, add your pricing and attach the contract.
- Click Open in browser to see it exactly as the couple will.
- Click Review and email and send it from the lead's messages.
- Save it as a preset so the next proposal starts finished.
Questions filmmakers ask
What should a wedding videography proposal include?
Their names, date and venue on the cover, a welcome note, a section about you and how you film, recent work they can play, the investment table with packages and add-ons, and a clear next step. Hailo's four designs carry those sections. The cover, the investment table and the accept step can never be switched off, because a proposal without them cannot be accepted.
What is the difference between a proposal and a quote?
A quote is the price and the line items behind it. A proposal includes the quote and also makes the case for booking you: your films, your approach, what their day will look like on screen. In Hailo the investment table on the proposal is the quote, with optional add-ons the couple can toggle, so you send one page instead of two documents.
How long should a proposal stay open?
Long enough for a couple to decide, short enough that your pricing and your calendar stay honest. In Hailo every proposal expires 30 days after it is created, and the expired page invites the couple to email you for an updated one. You cannot set a different date. Once the couple has signed, no expiry applies.
Can a proposal be a contract?
In Hailo it does not need to be, because the contract travels with it. You attach contract terms to the proposal, they are frozen when you send it, and the couple signs them on the booking page right after choosing a package. Whether a proposal on its own could bind anyone depends on its wording and where you work, which is a question for a lawyer in your state.
