Proposals, investment guides and contracts

Proposal and contract software for wedding videographers

Proposal and contract software for a wedding film studio should carry a couple from your price list to a signed, paid booking without a single attachment. In Hailo that path runs through one link: an investment guide they pick from, a proposal in your design, a contract they sign online, and the deposit.

From your price list to a booked couple

The work splits into what you set up once and what you do per couple. Once: your catalog of packages and add-ons, a proposal design saved as a preset, a default contract, a questionnaire and a payment schedule you reuse. Per couple: pick the preset on their lead, adjust what is different about their day, and send the link.

On the couple's side it is one sitting. They choose a package and add-ons, sign the contract, answer your questions and pay the deposit, on a phone if they like. The videography booking form page walks through that link.

Proposal vs contract

People search proposal vs contract because the two blur together. A proposal is the offer: who it is for, what you will deliver, what it costs and how to accept. A contract is the agreement you both sign, with the terms that hold if plans change.

Can a proposal be a contract? Software cannot settle that. The answer turns on the wording and on local law, so ask a lawyer in your state. Hailo keeps them as two documents that travel together: the couple chooses on the proposal and signs the contract on the next step. Contract templates explains how yours are written and reused.

What to look for in proposal and contract software

Whether you are weighing proposal software on its own or a whole studio app, these are the questions worth asking.

  • Can couples choose on the page? Packages and add-ons with a live total, rather than a PDF they reply to. Hailo's version is an investment guide couples pick from.
  • Do you edit the document itself? In Hailo you type on the proposal exactly as the couple will see it, in one of four designs.
  • Is the signed text frozen? A contract should be copied into each booking when it is sent, so editing your template later never changes what a couple signed.
  • Is there a record behind the signature, and a countersignature? See online contract signing.
  • Does the money follow? Good contract and invoice software raises the rest of the payment schedule once the deposit lands. Hailo does, with reminders.
  • Can you change things after they sign? In Hailo a new date or added hours go out as something extra to sign on top of the booking, imported couples included.

Where Hailo stops

Good proposal and contract software is honest about its edges, so here are Hailo's. There are no Word or PDF templates to download: the designs, contract starters and presets live in the app, and the starters are working drafts, not legal advice. Each studio has one login, so there is no separate account for a partner to countersign from.

If you need proposal and invoice software that syncs with QuickBooks, that connection is not built yet. Finance exports CSV for your books in the meantime.

Setting it up once in Hailo

  1. Add your packages and add-ons under Templates > Catalog.
  2. Pick one of the four proposal designs, make it yours and save it as a preset.
  3. Write or adapt a contract template and mark it as the default.
  4. Build a questionnaire, and save the payment schedule you always use as a preset.
  5. On each new lead, open the Booking tab, pick your preset and send the link.

Questions filmmakers ask

Can a proposal be a contract?

Sometimes, but whether a given proposal binds anyone is a legal question with different answers in different states, so ask a lawyer where you practice. Hailo sidesteps the gray area by keeping the two separate but connected: the couple picks a package on the proposal, then signs your contract on the very next step of the same link, and both stay with the booking.

What is the difference between a proposal and a contract?

A proposal is your offer: the packages, the price and why the couple should book you. A contract is the agreement you both sign, covering payment, cancellation, usage rights and what happens if plans change. In Hailo the proposal is a designed page the couple chooses from, and the contract is the text they sign right after, frozen into the booking when you send it.

What should a wedding videography proposal include?

At minimum, who it is for, what you will deliver, what it costs and how to accept. Beyond that come the parts that sell: a welcome in your own voice, a few recent films and a plain description of each package. Hailo's designs never drop the three essentials (their details on the cover, the price table, a way to accept), and the rest can be hidden per couple.

Can couples sign and pay a deposit from their phone?

Yes. The whole booking link works on a phone: the couple reads the proposal, signs with a fingertip, fills in your questions and settles the deposit in one sitting, by card, Apple Pay or a transfer app. Nothing can be paid until the contract is signed, and Hailo takes no cut of the payment.
