A wedding videography contract template couples sign online
A wedding videography contract template should cover the same ground for every couple, so in Hailo you write it once, set it as your default and attach it to every booking. Start from a ready-to-edit contract starter, have a lawyer in your state review it, and the couple signs it on the same page where they pay the deposit.

What a wedding videography contract usually covers
Most wedding videography contract examples share a familiar set of sections. The names change from studio to studio, but the ground they cover looks like this.
Treat the list as a map, not as legal advice and not as clause text. A lawyer in your state should review your contract before you rely on it, because terms that hold up in one state do not always hold up in another.
- The parties. Your studio and the couple, named in full, with how to reach each of you.
- Date and coverage. The wedding date, the venues, the hours you will film, and who is filming: you, a second shooter or an associate.
- Deliverables and timeline. What the couple receives (a highlight film, the full ceremony, the toasts, raw footage if you sell it) and roughly when.
- Payment schedule and retainer. The total, the retainer due at signing, when each later payment falls, and what happens if one is late.
- Cancellation and rescheduling. What happens to the retainer if the wedding is canceled or moved, and how a new date is handled.
- Music licensing. What music goes in the film and who is responsible for licensing it.
- Usage rights. Who holds copyright, how the couple may use and share the film, and whether you may show it in your own marketing.
- Limitation of liability. What you owe the couple if something goes wrong that you could not control, such as equipment failure, illness or a venue's rules.
A wedding videography contract template from a starter
Hailo includes contract starters, ready-to-edit agreements to begin from, so you never face a blank page. They are working drafts modeled on common industry practice, not legal advice. Open one, make it yours, and save it as a template.
Each template has a name, a kind and a short internal note on when to reach for it. Kind is a filing label (Standard, Destination, Elopement, Raw footage, Crew, NDA, Collaboration, Commercial, Post-production, Addendum or Custom), so separate destination, elopement and standard agreements are easy to tell apart. Tick Use as default for new proposals on the one you use most and it loads on every new proposal.
The body is plain Markdown: ## for section headings such as Scope, Payment and Cancellation, plus lists, bold and italic. If your wedding videographer contract template lives in a Word file today, paste it in and tidy the headings. The builder's own tip for destination weddings is to cover travel reimbursement, force majeure, and meals and lodging.
Your details filled in, frozen once it is sent
Your studio name, your state and the year fill into the contract for you, and when a couple books from an investment guide the package they chose fills in too. The couple's own names are not filled into the contract text yet, so write your terms to read correctly without them.
When you send the proposal or publish the booking, Hailo freezes a copy of the contract into it, and that copy is what the couple signs. Rewrite your template next month and only future proposals change. Nothing a couple has already read or signed moves.
From there the couple signs on their booking page, you countersign, and both of you get a signed PDF. Online contract signing walks through that half.
Changes after they sign
Weddings move. When the date changes or the couple wants another hour of coverage, you add to the booking and send a date-change addendum or extra coverage for them to sign, instead of reopening the original agreement. Addendum has its own kind in the template list, so your contract addendum template sits right beside the main contract.
This works for couples who booked you before you used Hailo, too: imported clients can get add-ons like anyone else. Moving in from another CRM covers bringing them over.
If you were looking for a free download
If you searched for a wedding videography contract template free to download as a PDF or Word file, Hailo does not offer one. The starters live inside the app, where they can be attached to a booking, filled in and signed, and you can open them on a free trial (see pricing). A free file is still a fair way to compare how studios lay out a videography contract template, as long as yours is reviewed before anyone signs.
The same goes for a videographer retainer contract template. In Hailo the retainer is not its own document: you set the deposit and the payment schedule on the booking, and the payment section of your contract explains those terms in your words.
How you use it in Hailo
- Open Templates > Contract templates and click New contract, or open a starter to edit.
- Give it a name, pick a kind, and add a short internal note on when to use it.
- Write or paste the body in Markdown, with a ## heading for each section.
- Tick Use as default for new proposals on your main contract, then save.
- On a lead's Booking tab, turn on Ask this couple to sign a contract and pick the template, or apply one in the proposal builder under Advanced settings > Contract.
- Publish the booking. The couple signs and pays, and you countersign to lock it.
Questions filmmakers ask
What should a wedding videography contract include?
Most cover the parties, the date and coverage, the deliverables and when they arrive, the payment schedule and retainer, cancellation and rescheduling, music licensing, usage rights and a limitation of liability, with travel terms added for a destination wedding. That is general guidance, not legal advice. A lawyer in your state should review your contract before couples sign it.
Is there a free wedding videography contract template?
Not as a download from Hailo. Hailo's contract starters are ready-to-edit agreements inside the app, which you can open on a free trial, change, set as your default and attach to bookings. They are working drafts modeled on common practice, not legal advice, so whichever template you start from, free or paid, have a lawyer in your state review it before couples sign.
Who owns the footage in a wedding videography contract?
Whoever your contract says owns it, which is why usage rights deserve their own section in writing. Spell out who holds copyright, how the couple may use and share the film, whether you may show it in your portfolio, and how raw footage is handled. Hailo has a Raw footage kind for a separate release if you sell unedited footage. A lawyer in your state should review the wording.
How do I add a change after the couple has signed?
Send an addendum. In Hailo you add to the booking after the couple has signed: a date-change addendum or extra coverage goes out for them to sign, and the original contract stays exactly as it was signed. It works for couples you imported from another CRM as well, so a couple who booked you before you moved to Hailo can still sign an add-on.
