The CRM for videographers who shoot weddings
Hailo is a CRM for videographers who shoot weddings, built around the way a couple actually reaches you: an inquiry on your site, a discovery call, a proposal, a booking. Every inquiry lands as a lead, every lead has one page, and every booked couple carries on into your client roster without being retyped.

From inquiry to booked, in one place
A wedding videography CRM earns its keep in the weeks before a couple says yes. In Hailo, leads arrive three ways: from the inquiry form on your website, from your book-a-call page, and by hand when someone phones, sends a DM or stops you at a wedding fair. They all land on Leads, filtered by status and searchable by name, email, source or venue.
Your wedding inquiry form is built in Hailo to match your brand and pasted onto your site with one snippet, and it can answer each inquiry within seconds with an auto-reply in your words.
The call page is yours too. Couples pick a time inside the hours you set, and each call arrives with a video link and a lead already filed. More on that under discovery call booking.
One page per couple
Every couple gets one page with their messages, files, money, profile and activity together. The status is plain (New, Contacted, Booked or Lost), and the record ticks off proposal sent, contract signed and deposit paid as each one happens. Private notes stay on your side, and tags can drive your automations. The full tour is under lead pipeline and client records.
Each lead also carries a source, from your website and Instagram to a vendor referral or The Knot, so you can see which places send couples who book.
After they book: your client roster
Once a couple books, the record carries on as a client. Clients sorts your roster into booked, editing, delivered and archived, and moves a couple to editing on its own once their wedding date passes. Two columns are for filmmakers: the income actually received from each couple, and an hourly figure that divides their contract by the editing hours tracked on their film.
Click Map and the roster turns into a globe with a pin at every venue you have filmed. It will not book you a wedding, but it is a good way to look back on a season.
What makes it a CRM for videographers
Plenty of software sells itself as a CRM for creatives or for wedding vendors in general. Hailo is made for wedding filmmakers, so the couple you book here is the couple whose footage you sort, whose ceremony you cut and whose film you deliver, in one app. Proposals, contracts and the booking link sit on that same record, covered under proposals and contracts.
If you were also comparing a CRM for wedding photographers: a photographer can run the whole front office in Hailo, but nothing on the footage side touches stills.
How leads move through Hailo
- Build your inquiry form under Settings > Embed forms and paste its snippet on your site.
- Set your call hours under Settings > Call scheduler.
- Open Leads to see every inquiry, call and hand-added couple in one list.
- Open a lead to reply, add a private note or change its status.
- Book the couple, and their record carries on under Clients.
Questions filmmakers ask
What is the best CRM for videographers?
The best CRM for videographers is the one that follows your weddings from inquiry to delivered film without a second tool at each step. If you want the front office, the footage side and delivery in one Mac app, Hailo is built for that. If you need several logins, Windows or QuickBooks today, it is not the right fit yet.
What should a CRM include?
For a wedding filmmaker: an inquiry form for your site, a way for couples to book a call, a pipeline that shows who is waiting on you, and one page per couple with emails, files and notes. Then proposals, contracts, invoices and payment reminders. Hailo has all of these, plus a client roster that follows each film from booked to delivered.
Do I need a CRM as a wedding videographer?
Not on day one. A spreadsheet and an inbox work for a handful of weddings a year. It starts to matter when inquiries slip through, when you lose track of who owes a deposit, or when every follow-up depends on your memory. A CRM keeps each couple's thread, money and status in one place.
What is the difference between a CRM and studio management software?
A CRM tracks people: inquiries, conversations and where each couple sits in your pipeline. Studio management software is the wider category, adding proposals, contracts, invoices, a calendar and reports around it. Hailo covers both, and goes further with the footage side and film delivery in the same app.
Can a CRM track where my leads come from?
Yes. Every lead in Hailo carries a source. Form and call-page leads get theirs on their own, and you pick one for couples you add by hand. Look across a season and you can see whether Instagram, past couples, vendor referrals or the wedding directories are actually sending you bookings, and spend your marketing time where it pays.
