Switching CRMs without starting over
Switching CRMs does not have to mean starting from an empty screen. Hailo brings your couples, invoices and payments over from the tool you are leaving, then walks you through your studio, your brand, your editor and your old clients in one setup wizard. Skip any step and finish it later in Settings.

What switching CRMs looks like in Hailo
The dread in a CRM move is the blank slate: two seasons of couples, balances and signed contracts that need a new home before you can send the next proposal. Hailo reads your old tool's export, shows you every couple it found, and lets you fix anything before a record is written. The tool-by-tool detail is on the page about CRM migration.
No export handy? Type your weddings in instead, with the date, the total, the deposit collected and the films you owe. Couples brought over this way start with automation switched off, so nobody gets an email from you by surprise while you are still switching CRMs.
A setup wizard on the first launch
The first time you open Hailo on your Mac, the onboarding wizard runs through seven stops: Start, About, Brand, Editor, Import, Connect and Inquiry. Its welcome screen puts it at about five minutes. Only your name, your business name and the editor you work in (Premiere Pro, Final Cut Pro or DaVinci Resolve) are required.
Along the way it asks whether Hailo should handle payment reminders, connects Gmail and Google Calendar if you want them, and opens the builder for your wedding inquiry form right inside the wizard. That is CRM setup and onboarding in the order a wedding videography business needs it, and every answer has a home in Settings afterwards.
Your brand, set once
Logo and colors is your brand kit: a logo, a square mark for the couple's browser tab, heading and body fonts, four palette colors and a corner roundness slider. A live preview shows it on a proposal, an invoice, your email signature and your inquiry form as you edit, and flags any color pair that makes text hard to read.
The kit paints everything couples see: proposals, invoices, emails, inquiry forms and delivery pages. Upload your own typeface, add a banner to proposals and invoices, and enter your Instagram, YouTube, TikTok, Vimeo, Facebook and Google review links once. What you build on that kit is covered under proposals and contracts.
The app itself has six themes: Original, Midnight, Noir, Bone & Ink, Paper, or Custom in your own colors. A theme is only for you. Couples never see it.
Billing in your own money
Hailo bills couples in US, Canadian, British or Australian money, and its forms ask for a postcode in the UK and a province in Canada. Outside the US some wording is still American: the tax report says Sales tax rather than VAT or GST, and dates read the American way. Nothing miscalculates.

Questions filmmakers ask
How do I move my clients from my old CRM to a new one?
Export your clients and payments from the old tool and drop the files into Hailo's import, in the setup wizard or under Settings. Hailo shows every couple it found, with totals and balances from your own rows, and you fix anything before you import. Running the same files again updates those couples instead of copying them.
What should I export before I cancel my old CRM?
Your clients or contacts, your invoices or payments, and any signed contracts or quotes as PDFs. Hailo's page for each tool names the exact files and what that tool leaves out, such as custom fields. Export as the account owner, since limited roles often get a stripped file, and keep the old account until you have checked Hailo.
How long does it take to switch CRMs?
The setup wizard says about five minutes, and you can skip anything. The import depends on how many files your old tool gives you and how closely you check them. Hailo shows a preview before it writes anything, so most of the time goes into reading it. You can also start empty and import later.
Can I keep my branding when I switch CRMs?
Yes. Your logo, fonts, brand colors and corner roundness live in one brand kit that Hailo uses on proposals, invoices, emails, inquiry forms and delivery pages. If your website already carries your colors, the setup wizard can pull them from it. You can upload your own typeface too.
What software do videographers use to run their business?
Usually a stack: a CRM for inquiries, contracts and invoices, a scheduler for calls, a gallery service for delivery, and an editor for the film. Hailo puts the front office and delivery in one app and adds the footage side before the edit. It does not replace your editor, and every plan is one login for now.
