Defaults

Set the mailing address, tax rate, deposit, payment terms, lead window and the text Hailo pre-fills into proposals, contracts and emails.

Settings > Defaults holds the values Hailo pre-fills into new proposals, invoices, contracts and emails. Every one of them is still editable on the individual document.

Unlike most settings pages, Defaults has a Save changes button. Nothing is stored until you click it. Cancel puts the form back to the saved values.

Mailing address

Used on invoices and contract footers. It never appears on your studio page.

Field Notes
Street address First line.
Apartment, suite, unit, etc. Optional second line.
City, state, ZIP Three boxes on one row: City, State, ZIP.

Money

Field What it does Limits
Default tax rate (%) Pre-fills the tax line on new invoices and proposals. Decimal allowed (for example 8.25).
Default deposit (%) The retainer percentage new proposals start with. 0 to 100. Anything outside is clamped to that range when saved.
Default payment terms Free text. Fills the {{retainer_terms}} tag in your email and contract templates.
Active lead window Days a lead keeps counting as active on the dashboard and in the default Leads view. 1 to 365. Default 30. Values outside the range are clamped.

Document text

Pre-populated when you draft a new proposal or send an email. Overridable per item.

Field Where it goes
Default email signature Added to the bottom of every email you send from Hailo. Preview it under Logo and colors (the Email preview).
Default proposal intro Markdown. Sits at the top of every new proposal.
Default contract terms Markdown. The agreement language couples sign.

Save

  1. Change any fields.
  2. Click Save changes. The message "Defaults saved." confirms it.

Only the fields on this page are written when you save. Nothing on Your details or Logo and colors is touched.

If it didn't work

  • A value snapped to a different number. Deposit is limited to 0 to 100 and the lead window to 1 to 365. Hailo stores the nearest allowed value.
  • The tax rate did not save. Type a plain number. Letters and symbols are ignored.
  • The signature is not on my emails. Signatures apply to emails sent from Hailo. Check the email template you are using has not replaced it.

  • Merge fieldsEvery merge tag Hailo can fill in for you, what each one resolves to, the ones you must fill in yourself at send time, and the tags that are easy to mix up.
  • The Leads listFind, filter and update every couple who has asked about your work, from the first inquiry to booked or lost.
