Contract templates

Contract templates are the reusable agreements you attach to proposals and bookings. Open them from Templates > Contract templates. The subtitle says it plainly: "Reusable contract bodies that snapshot into proposals at send-time."

The list

Columns are Name, Kind and Description. The template marked as default carries a "default" pill. Click a name to edit it. With none saved the page reads "No contract templates yet. Build separate ones for destination, elopement, and standard weddings so you're not editing the same paragraphs every time."

Kinds

Kind is a filing label. Nothing behaves differently by kind; it keeps the list readable once you have several.

Create or edit a template

1. Click New contract (or a template's name).
2. Under Template details fill in: - Name, for example "Destination Wedding Contract". - Kind. - Use as default for new proposals: tick to make this the contract that loads on every new proposal. Only one template can be default; ticking it here clears the previous one. - Short description (internal, not shown to client): when to use it, what is different about it.
3. Under Contract body, write the agreement in Markdown. The field supports headings, lists, bold and italic.
4. Click Create contract template (or Save contract template).

To delete, click Delete in the header. The confirmation reads "Delete this contract template? Proposals that already used it keep their snapshot."

Markdown tips

The Tips rail on the builder covers the basics:

• Use ## for section headings (Scope, Payment, Cancellation).
• Keep the body neutral. It is snapshotted into each proposal, so changes here only affect future proposals.
• The default contract auto-loads when creating a new proposal. Only one can be default at a time.
• For destination weddings, include travel reimbursement, force majeure, and a clause about meals and lodging.

Merge tokens such as a couple's name are not filled into contract bodies yet; write the terms so they read correctly without them.

The default and your studio terms

A new proposal starts with the Default contract terms from Settings > Defaults. Applying a template in the builder replaces those terms with the template's body. If a proposal template (preset) names a default contract, that wins for proposals started from the preset.

Snapshot on send

When you send a proposal, or publish a booking, Hailo copies the contract text into that proposal or booking. From then on the couple signs that copy. Editing the template afterwards changes future proposals only; it never changes what a couple has already been shown or has already signed. The Booking tab's preview says the same thing: "Whatever you pick is frozen into this package when you publish, so later edits to the template won't change what this couple signed."

Attaching a contract

• In the proposal builder: Advanced settings > Contract > Apply a template > Apply, then edit the terms if needed. See Proposal builder.
• In a lead's Booking tab: step 03, The contract. Turn on "Ask this couple to sign a contract", then pick a template or write a custom one. See Book a lead.

If it didn't work

Symptom	What to do
The Booking tab's Contract preview says "… has no text yet"	The attached template is empty. Open it under Templates and write the terms.
The couple's page says "No contract attached yet"	Pick a template under The contract in the builder, then publish again.
