Proposals and invoices

Set the banner and footer on every proposal and the header and footer bands on every invoice, with a live preview.

Settings > Your studio > Proposals and invoices is the chrome on the documents you send: the banner behind a proposal title, the footer under it, and the header and footer bands on every invoice. Everything saves as you change it, and the Live preview on the right follows whichever document you are editing.

Two buttons at the top of the controls pick the document: Proposal or Invoice. Inside each, the groups run in the order the document reads, top to bottom.

Proposal

Behind the title on every new proposal. Any one proposal can still use its own image from the proposal builder.

  1. Click the row ("Drop a banner here, or click to upload.") or drag a photo onto it.
  2. Pick a PNG, JPG or WEBP up to 10 MB. SVG is not accepted here; this slot is for a photograph.

With a banner in place the row shows the file type and size, plus Replace and Remove.

"The last thing a couple reads." Social icons come from Links.

Control What it does
Show your logo Toggle. Puts your logo in the proposal footer.
Show social links Toggle. Adds the icons for every link you filled in under Links.
Footer note One text line, up to 300 characters (placeholder "One line in your own words"). Optional.

Invoice

On the invoice you send and the one that prints. Your name, email and phone come from Your details.

There are two banner slots, Header banner and Footer banner, with the same controls each.

  1. Click the row ("Drop a banner here, or click to upload.") or drag a photo onto it. PNG, JPG or WEBP up to 10 MB.
  2. Once uploaded, click Adjust to open the framing editor.

The framing editor shows the banner at its real height so you drag against the crop that ships.

Control Range Notes
Drag the photo Anywhere "Drag the photo to reposition it." Arrow keys nudge.
Height Header 60 to 320 px (default 164). Footer 40 to 240 px (default 132). Height of the band at full width.
Zoom 1.00x to 8.00x Zooms the photo inside the band.
Rotate -180 to 180 degrees Rotating a wide, short band needs more zoom to keep it covered, so the editor refuses angles the current zoom cannot cover.
Reset framing Puts height, zoom, rotation and position back to their defaults.

Replace and Remove work the same as the logo row.

Under the header banner:

Control What it does
Show your logo Toggle. Puts your logo in the invoice header. If you have no logo yet the label adds "upload one under Logo first" and the switch has nothing to show.
Header line One text line, up to 300 characters, placed under your contact details (placeholder "Under your contact details"). Good for an address or tax ID. Optional.

Under the footer banner:

Control What it does
Footer line One text line, up to 300 characters (placeholder "The last thing they read"). Thanks, terms, anything. Optional.

The automatic footer line with your studio name and the invoice number stays under whatever you add, so a printed invoice can still be filed by number.

Live preview

The preview on this page offers Proposal and Invoice only, since those are the two surfaces this page changes. It switches to match the document you are editing. Logo, fonts and palette come from Logo and colors.

If it didn't work

  • The status line reads "Couldn't save". Check your connection and change the setting again.
  • A banner upload is refused. Use PNG, JPG or WEBP under 10 MB. SVG is not accepted for banners.
  • The Rotate slider will not go further. Zoom in first. A band can only rotate as far as the current zoom keeps it covered.
  • Show your logo does nothing. Upload a logo under Logo and colors first.
  • No social icons appear. Fill in the links under Links and turn on Show social links.
  • Logo and colorsUpload your logo and square mark, pick heading and body fonts, set the four palette colors and corner roundness, and preview it all live.
  • LinksAdd your Instagram, YouTube, TikTok, Vimeo, Facebook and Google review link so couples can find you from proposals and delivery pages.
  • Your detailsSet the business name, owner, email, phone, website and studio link name that couples see on proposals, invoices and delivery pages.
  • DefaultsSet the mailing address, tax rate, deposit, payment terms, lead window and the text Hailo pre-fills into proposals, contracts and emails.
  • The proposal builderEdit a proposal in place, set who it is for, price it, attach a contract, brand it, set the deposit and save the setup as a preset.
  • Create and edit an invoiceBuild an invoice by hand, edit it on the document itself, split it into instalments, choose who covers the card fee, send it, and see how booking invoices are raised for you.
