The Leads list
Find, filter and update every couple who has asked about your work, from the first inquiry to booked or lost.
Leads is the inbox for couples who have inquired but not yet booked. Open it from Leads in the sidebar. Every lead you add by hand, every inquiry-form submission and every discovery call lands here.
Add a lead
Click New lead at the top right of the page. The form is covered field by field in Add a lead. Leads also arrive on their own from your inquiry form and your call page.
Filter the list
The pill at the top of the list switches between views. Each segment shows a count. Switching is instant and does not reload the page.
| Segment | What it shows |
|---|---|
| active | Leads with status New or Contacted that were touched inside your active-lead window. This is the default view. |
| all | Every lead you have ever logged, whatever the status. |
| new | Leads nobody has replied to yet. |
| contacted | Leads you have replied to. |
| booked | Leads that booked. Their record continues as a client. |
| lost | Leads you marked as lost. Lost rows are dimmed until you hover them. |
What "active" means
A lead counts as active when its status is New or Contacted and it was last touched within the number of days set in Settings > Defaults > Active lead window ("Days a lead keeps counting as active on the dashboard"). "Touched" means any change to the lead, not the day it was created. The same window drives the Active leads tile and every lead widget on the dashboard, so the list and the dashboard always agree.
Old leads that fall outside the window are not deleted. They stay under all and under their status segment.
Search
Type in Search leads… to filter the current view by name, email, source or venue. Search works on top of whichever segment is selected.
Columns
| Column | What it shows |
|---|---|
| Name | The couple's display name. Click the row to open the lead record. |
| Status | New, Contacted, Booked or Lost. Click it to change it (see below). |
| Source | Where the lead came from (Website, Instagram, Referral and so on). |
| Budget | The tentative budget, if you entered one. |
| Location | The tentative venue or location. |
| Wedding | The tentative wedding date. |
| Reached out | When the lead first came in. |
Change a status from the list
- Click the status chip on a row. The row does not open.
- Pick New, Contacted, Booked or Lost from the menu.
The row updates in place, and the counts in the filter pill update with it. Changing a status here is the same as changing it on the lead's Profile tab. See The lead pipeline for what each status means and what moves a lead on its own.
The inquiry-form banner
If you have leads but have not built an inquiry form yet, a banner appears above the list: "Turn your website into a lead source." with a Build your inquiry form button. It takes you to Settings > Embed forms. Close the banner with the dismiss control and it stays closed on this Mac. See Build an inquiry form.
Empty states
| You see | Why | What to do |
|---|---|---|
| "The inbox is still asleep" | You have no leads at all. | Click Build your inquiry form to put a form on your site, or click New lead to add one by hand. |
| "Nothing in this view right now. Every lead you've ever logged is under All." | The current segment is empty. Most often this is active when your leads are older than the active-lead window. | Switch to all, or widen the window in Settings > Defaults. |
Troubleshooting
A lead I know exists is not in the list. Check the segment. The default view is active, which hides New and Contacted leads older than your active-lead window and hides Booked and Lost leads entirely. Switch to all.
I marked a lead Booked but the couple has not paid. Status is a label you control. Marking a lead Booked from the list does not create a client, an event or an invoice. Use the Booking tab to run a real booking (see Book a lead), or click Convert to client on the lead record.
