Email the couple their link

Send the gallery link from Hailo, with a subject and message you can check before it goes.

Once a gallery is published you can email the couple their link from inside Hailo. The email goes out from your connected mailbox and is recorded on the client's timeline.

Before you start

  • The gallery has to be published.
  • The client needs an email address on their record.
  • You need a connected email account. See Gmail.

The three states

Open Share and the Email the couple fold. It reads one of:

State What it says
Not published "Publish first to email the couple their link."
No email on file "Hailo has no email address for , so it cannot send them anything. Add one on their client page and this becomes a Send button. Until then, copy the link at the top of this panel and send it yourself."
Ready "Email the link to
." with a Send to couple button.

Send the email

  1. Click Send to couple (in the Share panel, or in the toast right after publishing).
  2. The Send this to your couple sheet opens. It shows To, a Subject field, a Message box and a preview of your email signature.
  3. Change the subject or message if you like.
  4. Click Send email. Cancel closes the sheet without sending.

Once sent, a green Sent on badge appears in the fold and the button becomes Resend.

The default email

Body:

Hi <first name>,
Your film is ready to watch. Here's your private gallery:
<link>
Watch it, download it, and share it with family whenever you like.

If your studio has a saved email signature, Hailo appends it. If not, a sign-off with your studio name is added instead, so you never get your name twice.

Where the send is recorded

The email appears on the client's timeline in Manage, with open tracking on. Hailo also posts a notification, "Delivery sent to ", and the client's Delivery card shows the gallery as sent.

If it didn't work

Message What to do
"Publish the gallery first. The couple needs a live link." Publish, then send.
"No email on file for this couple. Add one on the client, or copy the link and send it yourself." Open the client record, add an email, come back.
"Connect an email account in Settings → Integrations to send from Hailo. For now, copy the link." Connect Gmail or another mailbox, then send.
"Couldn't send (). Copy the link and send it manually." Your mailbox refused the send. Check the connection under Settings > Integrations, or copy the link and send it from your mail app.
  • Publish a galleryTurn the couple's link on, mark the project delivered, and take a gallery down again.
  • Share link and text-message previewCopy the couple's link and control how it looks when you text it.
