An integration won't connect
Clear a stuck Waiting for browser approval overlay, and fix the connection states for Gmail, Google Calendar, Stripe, Square, Instagram and Zoom.
Gmail, Google Calendar, Stripe, Square, Instagram and Zoom all sign you in on the provider's own site. Hailo opens a browser window and waits. Most connection trouble is one of two things: the approval was never finished in that window, or the provider is not switched on for Hailo yet.
The Waiting for browser approval overlay never clears
When you click Connect, Hailo shows a dark overlay titled Waiting for browser approval… and your default browser opens on the provider's sign-in page. The overlay closes on its own the moment the connection lands.
Finish it in the window that opened. The overlay is waiting on the provider to send you back. Nothing you do in Hailo will move it along.
- Switch to the browser window and complete the sign-in there. Approve every permission the provider asks for.
- Come back to Hailo. The overlay closes and the page reloads with the tile showing Connected.
If no browser window appeared, wait a few seconds. The overlay then adds Browser didn't pop? Copy this URL and paste it manually: with the sign-in address and a Copy URL again button. Paste that address into any browser and approve there.
If it is still sitting there after a minute:
- Click Cancel. This closes the overlay without connecting anything and costs you nothing.
- Open Settings > Integrations again and look at the tile. If it reads Connected, the approval landed and only the overlay missed it.
- If not, click Connect again and finish the approval in one go, rather than leaving the provider's page open to come back to later.
| What the overlay says instead | Meaning |
|---|---|
| Can't start ... authorization | The message under it is the reason. Usually that provider is not switched on for Hailo yet |
| Network error, "Couldn't reach the server to start the OAuth flow. Check your connection and try again." | Check your internet and click Connect again |
For Stripe the overlay clears on any change of state, including Setup incomplete. Look at the Stripe tile after it closes rather than assuming the connection is finished.
You are signed into several Google accounts
This is the quiet one. If your browser is signed into more than one Google account, the approval can land on the wrong one, or the sign-in page can pick an account you did not mean.
- Read the account name on Google's own screen before you approve.
- If it is the wrong one, use Google's account switcher on that page.
- Where an approval refuses to stick, redo the step in a private window with only the account you want signed in.
Connect the address your couples actually write to, not a personal account. If you connected the wrong one, click Reconnect on the Gmail tile and pick the right account.
What each tile state means
| What you see | Meaning |
|---|---|
| Connect ... → | Not connected. Click to start |
| Connected | Working. The tile names the account and shows its actions |
| Needs reconnecting (Gmail) | Google stopped accepting sends. Nothing goes out until you reconnect |
| Setup incomplete (Stripe) | Stripe still wants details from you before charges turn on |
| Ready (Google Meet) | Google Meet has no sign-in of its own. It is ready as soon as Google Calendar is connected |
| Set / Not set (Scheduling) | Whether you have pasted a scheduling link |
| Setup required (Square, Instagram, Zoom) | That provider is not switched on for Hailo yet. There is nothing for you to do |
| Coming soon | Planned. No button, nothing to click |
Stripe: Setup incomplete is not a failure
Stripe accepted your sign-in but still wants something: usually your bank account or your identity check. The tile reads "Almost there. Stripe needs a couple more details before charges turn on".
- Click Resume Stripe setup →. Stripe's form opens where you left off.
- Provide what it asks for and come back.
- If you finished the form and the tile has not moved, open Open Stripe dashboard ↗ and look for anything outstanding. If Stripe shows nothing, your account is under review and the tile flips by itself.
Cancel setup removes the pending connection so you can start again, for example with a different Stripe account. See Connect Stripe and A payment isn't showing up.
| Message | What to do |
|---|---|
| "This Stripe setup link has expired" | Stripe's setup links are short-lived. Click Resume Stripe setup → for a fresh one |
| "No pending Stripe Connect onboarding to finish." | Hailo has no setup in progress. Click Connect Stripe → to start |
| "Couldn't refresh Stripe Connect status:" | Hailo could not reach Stripe. Wait a moment and open Integrations again |
| "Stripe isn't set up on the Hailo side yet" | Stripe is not switched on for this copy of Hailo. Write in |
Instagram expires after 60 days
Instagram's access lasts 60 days without a sync. If Hailo has not synced in that time, the chip changes to Reconnect Instagram → and the tile says your token expired.
Click Reconnect Instagram → and approve again. Post tracking resumes and your Momentum score fills itself again. If you see "Instagram sync hit a problem:" followed by a reason, access was revoked or expired: click Disconnect, then connect again.
See Connect Instagram.
Square and Zoom say Setup required
Both need a one-time setup on Hailo's side before any studio can connect. There is nothing on your side to fix and no button to press.
- Square: "Square needs a one-time platform setup before filmmakers can connect" and "Until then, Stripe covers card payments." Use Stripe in the meantime.
- Zoom: "Zoom sign-in isn't switched on in Hailo yet". Use Google Meet, or paste a static Zoom link in the call scheduler under My own link. Discovery calls work either way.
If the Square tile instead carries "(Sandbox mode, test cards only.)", Square is connected but in test mode. Real cards are declined. Do not send real invoices down that rail while the note is showing.
Messages when an approval was interrupted
These all mean the same thing: the sign-in did not complete in one pass. Start again and finish it in one go.
| Message | Provider |
|---|---|
| "Gmail auth failed:" followed by a reason | Gmail |
| "OAuth state mismatch" | Gmail |
| "Square connection cancelled" followed by a reason | Square |
| "Square connection couldn't be verified" | Square |
| "Square didn't return an authorization code" | Square |
| "Couldn't finish connecting Square:" | Square |
| "Zoom auth failed:" or "No authorization code returned by Zoom." | Zoom |
| "Failed to complete Zoom connection:" | Zoom |
If it didn't work
- Gmail connected but says permission to send was not granted. The box about sending email on your behalf was unticked on Google's consent screen. Click Reconnect and keep it ticked. See Email isn't sending.
- The tile shows Connected but the feature does nothing. For payments, the rail also has to be switched on under Settings > Client payment methods. For calls, the call scheduler has to be set to that provider.
- A Connect button is missing. The tile says Setup required or Coming soon. That is expected and there is nothing to fix.
- You cannot find the tile. Type part of the name into Search integrations at the top of the page.
Still stuck? See Contact support and quote the exact message on the tile.
