Call scheduler

Set up the public page where couples book a discovery call with you, including hours, limits, video call provider and the link to share.

Settings > Call scheduler is your own scheduler. Drop its link in emails, on your site or on Instagram. Couples pick a time, and each call becomes a lead in Manage, already on your calendar.

This page has a Save button at the bottom. Nothing is stored until you click it.

Note

This is not the Booking page a couple reaches from a proposal to review, sign and pay. That is a different screen.

The top of the page shows the public address: your Hailo address followed by /p/book/ and your slug. The slug starts as your business name and must be unique across all of Hailo.

Control What it does
The slug box Edit the last part of the address. Lowercase letters, numbers and hyphens.
Copy Copies the full address.
Open Opens the public page in a browser window.
The switch Accepting calls on or off. Off keeps the page but couples cannot book.

If the next confirmed call is coming up, a line reads "Next call: {date and time} UTC" with the booker's name, a View lead link and "+N more", which opens the calendar. The page lists up to the next 20 confirmed calls this way.

A new scheduler starts with these values.

When couples can book

Your week is a grid: seven days across, the hours down the side. The filled blocks are the times a couple can book.

  1. Drag down a day to draw a block. Blocks snap to the nearest 15 minutes.
  2. Click a block to type exact times, or to remove it.
  3. Use the switch above a day to open or close it. A day with no blocks is closed, and reads "closed" under the grid.
  4. Set how long calls last, in minutes.

A day can hold more than one block. If you take calls from 11 to 2, shoot all afternoon, then take calls again from 4 to 6:30, draw two blocks on that day. Couples see times in both and nothing in between.

Every day can have its own hours. Mornings on Monday and afternoons on Saturday is two different blocks on two different days, not a compromise across the week.

Hailo will not save a schedule nobody can book. A block that ends before it starts, two blocks on one day that overlap, a call longer than every block you have drawn, or no open days at all: each one is refused by name and your old hours stay.

Call length accepts 5 to 240 minutes. A value outside any range is ignored and the old value stays.

What couples see

"Click any text to edit it." The card is a live preview of the public page.

Control What it does
Color swatch The page's accent color.
Corners slider Roundness of cards, slots and the button, 0 to 32 px (default 10).
Title Click to edit. Blank falls back to "Book a discovery call".
Intro Click to edit the paragraph under the title.
After they book The message shown once a call is confirmed. Blank falls back to the default.

Where the video call happens

Pick one:

Option What you need
Google Meet Google Calendar connected. Hailo mints a fresh Meet link for each call. The row shows Connected or Not connected with a Connect Google Calendar link.
Zoom Zoom connected. Each call gets its own Zoom link. The row shows Connected, Not connected with a Connect Zoom link, or Setup needed with a See Zoom setup link.
My own link Paste a static meeting link in the box that appears ("Paste your meeting link"). A bare domain gets "https://" added.

Save

  1. Click Save.
  2. The message "Call scheduler saved." confirms it.

Saving also fills in your scheduling link for email templates if you have not pasted an external one, so the {{scheduling_link}} merge field points at this page. See Merge fields.

If it didn't work

  • "Slug '{slug}' is already taken. Pick another." Another studio has that slug. Change it and save again. The rest of your changes were saved.
  • A number would not save. It was outside its range (see the tables above). The old value stays.
  • Google Meet or Zoom shows Not connected. Connect it under Settings > Integrations, then come back and save.
  • Couples say there are no times. Check that the day has a block on it, the block is long enough for the call length, Most calls in one day, and that the switch at the top is on.
