Create a gallery

Start a new gallery for a couple in two steps, drop in the films and open the editor.

A gallery is the page a couple opens to watch and download their films. You create one with a two-step wizard: pick who it is for, then drop in the film. The wizard builds the page and opens the editor.

Note

The gallery attaches to the couple's project in Manage. That is what lets the Publish step mark the project as delivered, and what puts the gallery on their client record.

Open the wizard

Any of these opens it:

  • On the Deliver launchpad, click the Start a gallery card.
  • Click Use template on a look in Browse templates. The wizard opens with that look chosen.
  • In the Galleries list, click New gallery.
  • On a client record, click New delivery on the Delivery card. The client is already picked.

A dot stepper at the top shows which of the two steps you are on.

Step 1: Who's this for?

The eyebrow reads New delivery and the heading Who's this for?: "Pick the couple this gallery belongs to, or add a new one. The film attaches to their project so it shows on their record and your dashboard."

Pick an existing couple

  1. Type in Search couples to narrow the grid. The field appears once you have at least one couple to search. Only booked, active and completed clients are listed.
  2. Click the couple.
  3. Click Next. It stays disabled until a couple is chosen.

If nothing matches you see "No couples match your search."

Add a new couple

  1. Click + New client.
  2. Fill the two Partner fields (placeholder First name).
  3. Optionally fill Email (optional) (placeholder couple@email.com). Without an email, Hailo cannot send them the link later; you can add it on their client record at any time.
  4. Click Next.

Cancel closes the wizard without creating anything.

Step 2: Deliver the film.

The banner

The plate at the top is the gallery's cover, drawn the way the couple's page will draw it, with their names and date on it.

  1. Choose Image or Video in the Banner type tabs.
  2. Click Upload and pick a file.
  3. For an image, a crop control appears with the hint Drag to reposition and a Zoom slider (100 to 300 percent). Drag the picture until the framing is right.

The caption under the plate reads Banner is a frame from your feature film until you replace it. You can leave this step alone; a new gallery takes a live cover cut from the feature film on its own. See Cover for every cover option.

Banner videos have to be under 2 minutes and under the same size ceiling as films. If a file is refused, the reason appears in the banner area.

The dropzone

Drop or click to select your film(s): "Any video format. The first one becomes the feature; the rest land in the watch rail." You can pick several files at once.

Each film you add gets a card with a row of kind chips. Click a chip to label the film:

Chip Use it for
Teaser A short trailer.
Highlight The highlight film. This is the default.
Ceremony The full ceremony.
Dances First dance and parent dances.
Speeches Toasts and speeches.
Other Anything else.

There is no "feature" chip. Whichever film finishes uploading first takes the top spot on the page; you can change that later in the Films panel. See Films panel.

The transfer bar

One bar, docked above the wizard's footer, shows the progress of the whole delivery so you never have to hunt for an upload. Uploads keep going after you leave the wizard; the uploads pill in Hailo's top bar tracks them. See Upload films.

Click Build the gallery. The button stays disabled until at least one film has started uploading. Hailo creates the page and opens the editor. If you click it twice by accident, or retry after a hiccup, you still get one gallery, not two.

What Hailo writes for you

A new gallery is seeded with a starter personal note so the page is never blank: "The two of you made the whole day feel easy to capture, because the love was already in the room. I hope this film holds it for you forever." It is addressed to this couple and signed with your studio's sign-off. Change it in the Page panel; see Page text and note. Hailo never writes over a note you have already typed.

Before you start: the preflight banners

When the wizard opens it checks your video storage. You may see one of three banners across the top of step 2.

Banner Colour What to do
Video storage is nearly full. N of M minutes left. A new film may be refused until space is freed. Amber Shown when 10 minutes or less remain. Delete films you no longer need, or wait for an upload you abandoned to be released.
A banner saying uploads are being rate-limited right now. Wait a minute and try again. Nothing's broken on your end. Amber Wait a minute and try again.
Video storage isn't reachable. Uploads will fail until this is fixed. (The banner names the storage service.) Red Video storage is down. Contact support if it persists; the raw error is shown under the banner.

If it didn't work

  • Next stays disabled. You have not picked a couple. Click one in the grid, or add a new client.
  • Build the gallery stays disabled. No film has started uploading yet. Drop one on the dropzone.
  • " is N.N GB. A film has to be under 30 GB to upload..." The file is over the ceiling. Export a delivery file; see Upload films.
  • The banner video was refused. It is over 2 minutes, or over the size ceiling. Trim it and try again.
  • The wizard says storage is full. See the banner table above and Upload films for your plan's storage.
