Your data and your clients' data
Export your workspace, delete your account, stop sharing, and see who can open your couples' pages.
This article covers the four things you can do about your own records and your couples' records: take a copy out, close the account, stop sharing, and control who can open a couple's page. The full legal answer is the Privacy Policy at hailo.studio/privacy.
Take a copy of your data out
- Open Settings > Account and find Your data > Export your data.
- Press Client list (CSV) for a spreadsheet of your couples, or Backup (JSON) for every record in your workspace.
- The file downloads. The backup is named
hailo-export-{date}.json.
The backup holds your account details, leads, clients, projects, invoices, payments, galleries, settings and the rest. Passwords, two-factor secrets and integration tokens are left out on purpose, and so are your footage and your delivered films. See Export your data.
Close your account
- Open Settings > Account and find Your data > Delete account.
- Press Delete my account. The Delete your account page opens, marked "This is permanent, read everything before you confirm."
- Read What happens when you delete, then type your email exactly into Your email under Confirm deletion and press Delete account permanently. Cancel takes you back.
Your email and login are removed and you cannot sign back in with that address. Invoices, payments and tax history are kept in anonymised form for legal retention, no longer linked to a named person. To have that anonymised billing history erased as well, email hello@hailo.studio once the deletion finishes. See Delete your account.
Deletion cannot be undone from inside Hailo. Export first if there is any chance you will want the records back. Your footage is not touched.
Cancelling is not deleting
Cancelling a plan deletes nothing. Your projects, footage, galleries and settings stay exactly as they are for as long as the account exists. What changes is your own reach: Hailo closes to you on the date, and your inquiry form stops taking new inquiries. Your couples are not affected. Every gallery you have published runs its full year from the day its last film was uploaded, so nobody you have sent a link to loses their film because you left. Export before you cancel if you are not coming back. See Cancel your plan.
Stop sharing
Settings > Data & Learning controls whether Hailo shares anything from your analyses to improve labelling. Press Turn off sharing and nothing more is shared from that Mac. The page then reads "Sharing is currently off for this machine." with a Turn sharing back on button. It is a per-Mac choice, so set it on each computer you use. See Data and Learning.
Who can open your couples' pages
Only you, and the people you send a link to. A proposal, a questionnaire and a delivery gallery are each reachable by their own link, and nobody finds one without it. You can add a password and an expiry date to any gallery, and unpublish it at any time. Hailo does not sell or share your couples' details. See Who can see what.
Payments your couples make go through your own payment account, so Hailo records the amount and the status, never their card number.
Your rights
You can access, update or delete your account information from inside Hailo, disconnect any integration from Settings > Integrations, and revoke Hailo's Google access at myaccount.google.com/permissions.
