The Finance page

Read your money at a glance, see the year by month, know who pays next, log expenses, and move money in and out by CSV.

Finance in the sidebar opens the Overview: the four numbers that matter, the year by month, who pays next, and your expenses. The same header runs across the whole tab.

The tiles

Tile Meaning
Net profit This year's earnings less expenses, with "up N% on last year" or "down N%" under it. Red when negative.
Collected Money that landed this year: "in the bank".
Clients owe Every open invoice balance. Click it to open Unpaid.
Late Past-due balances and how many clients to chase. When nothing is late it reads "no client is past due". Click it to open Unpaid.

By month

A bar chart of Earnings and Expenses per month. Switch the range with 12 mo, This year and All time. Hover a bar for that month's earnings, expenses and net. The footer totals Earnings, Expenses and the Average month net, with a link to the Profit and loss report.

Next payment in

The first few open invoices, late first, each with the couple, when it is due in plain words ("7 days late", "due in 10 days", "due June 2027") and the balance. Click a row to open the invoice. Below the list, All N open invoices opens Unpaid. Empty: "No one owes you anything."

Recent expenses

Your latest expenses with description, category, date and amount. Hover a row for × to delete it (confirm "Delete this expense?"). Empty: "Nothing logged yet."

Log an expense

The form's subtitle lists what belongs here: "gear, software, travel, subcontractors".

  1. Type a description ("Frame.io, hotel, a battery") and an amount. The hint under the form reads "Category, date and wedding open once you start typing."
  2. Once you type, the extra fields open: - Category: Gear, Software, Travel, Subcontractor, Marketing, Insurance, Other. - Date (defaults to today). - Wedding: tie the expense to a client, or leave Not tied to one. Tied expenses feed the per-wedding profitability report. - This repeats every month or year. Recurring expenses feed the "Monthly burn" tile and the anticipated expenses on the Outlook report.
  3. Click Add.

Amounts are read loosely: 899, 899.00, $899.00 and $1,200 all work.

Message What to do
"Couldn't read that amount. Try "99.00" or "$1,200", up to $10,000,000." The amount had letters or was out of range. Retype it.
"Couldn't read that date. Pick one from the calendar." The date did not parse. Use the picker.

Export a CSV

Open Export a CSV under the expenses list. Set the start and end dates (they default to January 1 and today), then click:

  • Transactions CSV: every payment, refund, income line and expense in the window.
  • Profit and loss CSV: a one-page summary.

Both open cleanly in Excel or Numbers.

Import a CSV

For money Hailo does not already see, such as a bank or QuickBooks export.

Heads up

Skip client payments. Those already come from your invoices, so importing them counts them twice. Only import income you earned outside Hailo.

  1. Open Import a CSV.
  2. Choose the kind: Expenses or Income. Picking Income shows the same warning about double counting.
  3. Click Choose CSV. The file needs a header row with date and amount columns; description, vendor and category columns are picked up when present.
  4. A preview table shows the first five rows (Date, Description, Amount) and a summary line: "N rows · ~$X total · importing as expenses".
  5. Click Import N rows, or Cancel.

Re-importing the same file is safe; rows that already exist are skipped. Rows with the opposite sign (a refund in an expense file) are treated as the other kind. Each import takes up to 1,000 rows; past that the message says so and you can split the file.

Undo an import

The most recent import stays listed under the tool ("Last import: · N rows · expenses · ") with an Undo import button. Click it to delete every row that import created. The page reloads with the charts corrected.
