Finance reports
Every report under Finance, what each one answers, and how to export it.
Finance > Reports is the sit-down-and-analyse end of Finance. Everything here is read-only over data you already have; nothing is set by hand. A row of links across the top switches between eight reports, and every table has an Export CSV button whose file opens in a spreadsheet with plain numbers.

Outlook
The landing page, titled Reports. Four tiles:
- Landing soon: "next 90 days", "scheduled invoice instalments".
- Late: "chase these first" (click to open Unpaid), or "nothing past due".
- Signed, not yet invoiced: "contracted work still to bill".
- Monthly burn: "expenses flagged as recurring".
The Financial outlook chart shows two bars per month (money in, stacked as Collected, Scheduled receipts, Signed, not invoiced and Late; money out as Expenses and Anticipated) with a line for the running cash position. Switch the range with Season, Year ahead and Wide. Hover a month for the breakdown. The footnote explains the inputs: future receipts come from your invoices' payment schedules, hatched bars are signed contracts not yet invoiced dated by the wedding, anticipated expenses are the ones flagged as recurring on the Overview expense form, and the cash line leaves late money out until it lands.
Profit and loss
"What came in, what went out, and what you kept, by month, quarter or year."
- Statement: pick Month, Quarter or Year and step through periods with the arrows. Sections are Money in (with Total in), Money out (with Total out) and Left over with the margin. Each total shows the change against the previous period. Zero rows are dropped.
- Business health: Avg booking, YoY pace (collected by this date versus the same date last year, or "First year tracked"), Bookings (with last year's count at this point), Season split (in-season average against off-season).
The CSV for this report is on the Overview page (Profit and loss CSV).
Aging (Receivables aging)
"$X is owed to you across open invoices." A table by client with columns Current (billed, not yet due), 1-30 days, 31-60 days, 61-90 days, 90+ days and Total, plus a Total row. Amounts in the two right-hand columns are red. Empty: "No open invoices. When one is sent, it ages here until it's paid." Export CSV adds an open-invoice count per client.
For day-to-day chasing use Unpaid; Aging is what an accountant asks for.
Sales tax (Sales tax liability)
Tax you have billed against tax you have collected.
- Pick a Filing window: the quarter pills for this year and last, YTD, or your own start and end dates with Apply.
- Read Two ways to count it ("Ask your accountant which you file on"): - Cash basis, collected: the tax share of what actually landed in the window, refunds subtracted. "Most small studios remit on this basis." - Accrual basis, billed: tax on what you invoiced in the window, paid or not.
Numbers come from each invoice's tax line, so invoices without tax contribute nothing. If you bill tax-inclusive, set the tax on the invoice for this report to see it. Export CSV writes both bases with what they were measured against.
Weddings (Per-wedding profitability)
"What each wedding actually netted after second shooters, travel, and everything else you attributed to it." Switch This year, Last year or All time. Columns: Couple, Wedding, Booked, Collected, Expenses, Net, Margin. Net is collected minus the expenses you tied to that wedding with the Wedding field on the expense form; general expenses stay out and are totalled in the footnote. Empty: "No booked weddings yet. Rows appear here as contracts are signed." The CSV adds a line for unattributed expenses.
Lead sources
"Where inquiries come from, which ones book, and what they're worth." Set the window with the dates and Apply. Columns: Source, Inquiries, Booked, Conversion, Booked value, with a Total row. Booked value is the signed contract totals of couples from that source. Empty: "No leads in this window. Widen the dates or check the Leads page." The CSV adds a Lost column.
Pipeline (Deal pipeline)
"Every deal in flight, from first inquiry to complete." A Funnel starting at Open leads (split into new and contacted), then each stage with its count and contracted value. "Leads convert on the Leads board; each stage advances on its own trigger (proposal sent, contract signed, deposit paid), nothing here is set by hand." The CSV lists every stage plus Lost.
Production (Production & delivery)
"What's on the bench, and how fast films are going out the door against your promise."
- Edit pipeline: a count per production state.
- Delivery turnaround (wedding day to film delivered): Average against "Promise: N weeks" (the delivery turnaround from your Goals plan, 8 weeks until you set one), On time percentage, Fastest ("Your best"), Slowest ("Your longest"), and a table of Couple, Project, Weeks and Against promise (On time or Late). Empty: "No delivered films with a wedding date yet, turnaround starts measuring at your first delivery."
- Past the promise: "Undelivered, N+ weeks since the wedding", with Stage and Weeks over.
The CSV contains both tables.
