Integrations overview

Find the Integrations page, understand what each connection unlocks, and read the states a tile can be in.

Integrations is where you connect the outside accounts Hailo works with: your mailbox, your calendars, your payment processor, Instagram and your video call tool. Everything here is your own account, connected for your own studio. Hailo's own billing is separate and lives on the Hailo Billing page.

Open the Integrations page

  1. Open Settings.
  2. Under Connections & billing, click Integrations. The row shows how many connections you have, for example 2 connected.

The page opens inside the Settings console with a Settings link at the top to go back.

Search the page

At the top of the page is a search box with the placeholder Search integrations. Type part of a name (Gmail, Stripe, Zoom) and the tiles that do not match disappear. If nothing matches you see No integrations match "your text". Clear the box to see every tile again.

The states a tile can be in

Each tile has a chip or a button in its top right corner. What it says tells you where that connection stands.

What you see Meaning
Connect ... → button Not connected. Click to start.
Connected Working. The tile shows the account it is connected as, plus its actions.
Needs reconnecting (Gmail) Google stopped accepting sends. Nothing goes out until you reconnect. See Connect Gmail.
Setup incomplete (Stripe) Stripe still needs details from you before charges turn on. See Connect Stripe.
Ready (Google Meet) Google Meet has no sign-in of its own. It is ready as soon as Google Calendar is connected.
Set / Not set (Scheduling) Whether you have pasted a scheduling link.
Setup required (Square, Instagram, Zoom) That provider is not switched on for Hailo yet. There is nothing for you to do until it is.
Coming soon Planned. No button, nothing to click.

Approving a connection in your browser

Gmail, Google Calendar, Stripe, Square, Instagram and Zoom all sign you in on the provider's own site. When you click Connect, a browser window opens on that provider's sign-in page and Hailo shows a dark overlay titled Waiting for browser approval… with the note that your default browser opened a sign-in window and Hailo will catch the approval on its own.

  1. Switch to the browser window and approve the connection there.
  2. Come back to Hailo. As soon as the connection lands, the overlay closes and the page reloads with the tile showing Connected.

If the browser window did not appear, wait a few seconds. The overlay adds Browser didn't pop? Copy this URL and paste it manually: with the sign-in address and a Copy URL again button. Paste that address into any browser and approve there.

Cancel closes the overlay without connecting anything.

If the overlay never clears

  • Check that you finished on the provider's side. The overlay only closes once the provider sends you back to Hailo.
  • For Stripe, the overlay clears on any change of state, including Setup incomplete. Look at the Stripe tile after it closes.
  • If the title changes to Can't start ... authorization, the message under it is the reason. Usually the provider is not switched on for Hailo yet.
  • If the title changes to Network error with "Couldn't reach the server to start the OAuth flow. Check your connection and try again.", check your internet connection and click Connect again.
  • If nothing happens after a minute, click Cancel, then open Settings > Integrations again. If the tile shows Connected, the approval landed and only the overlay missed it.

What each integration unlocks

Integration What it does for you
Gmail Proposals, invoices, questionnaire links and auto-replies send from your own Gmail address.
Custom Email The same sending, from Outlook, Fastmail, iCloud, Zoho or your own domain, with an app password.
Reply capture Couples' replies show up on their lead or client record inside Hailo.
Google Calendar Weddings, consults and deadlines push to your Google calendar. Extra calendars can be read to hold booking slots. Includes a subscribe link for any other calendar app.
Apple Calendar New events push to your iCloud calendar, and Apple events show on the Hailo calendar.
Stripe (Payments) Card and ACH payments on invoices, deposits on booking links and upsells on delivery pages, with 0% taken by Hailo.
Square (Payments) A Pay with Square link on every invoice, paid into your own Square account.
Instagram Your posts feed the Momentum score on your dashboard without manual logging.
Scheduling, Google Meet and Zoom A pasted scheduling link, and a fresh video call link for every discovery call.
Booking Hailo's own booking page takes discovery calls straight in as a lead, so an outside scheduler is optional.
QuickBooks, Zapier Planned. Shown so you know they are on the way.

Connecting during onboarding

The onboarding wizard has a step called Connect your email and calendar that offers Gmail and Google Calendar. Both are optional there. Anything you skip can be connected later from this page.

If it didn't work

Each integration has its own troubleshooting section. Start with the article for the tile that is giving you trouble. If a Connect button is missing and the tile says Setup required or Coming soon, that is expected: that provider is not available yet and there is nothing on your side to fix.
