Build an inquiry form

An embed form is your website's front door. Build it in Hailo, drop it on your own site or share its link, and every submission lands as a lead in Manage, attributed back to that form. Settings > Embed forms lists your forms; each one opens in a full-width builder.

The form list

The list shows every form with its Name, Slug (the last part of its web address), Status (Active or Paused) and Leads captured. Click a name or Edit to open the builder.

With no forms yet the page reads "Your website's front door" with a Create your first form button.

Create a form

1. Click New embed form (or Create your first form).
2. Type a Form name (placeholder "e.g. Main site inquiries"). You can edit everything else after.
3. Click Create & start building. Hailo seeds a set of default questions so you could publish in a minute.

The message "Created embed form: {name}" confirms it and the builder opens.

The seeded questions are: Your name (required), Partner's name, Email (required), Phone, Wedding date (with the hint "Leave blank if not set yet."), Venue or city, Approximate budget (a dropdown), How did you find us? (a dropdown) and Tell us about your day (a paragraph).

The builder

The builder has four steps, shown as a rail across the top: 1 Design, 2 After submit, 3 Notifications and 4 Share. In normal use every section is on screen at once; the rail scrolls you to each. Everything on the Design step saves on its own, and the note under the controls reads "Changes save automatically". The other panels flash Saved as you change them.

The header carries the essentials:

Step 1: Design

"Set the look and colors, then click any field label below to edit it." The controls sit on the left; the live form on the right is the editor itself.

Look

A dropdown labeled Look picks the visual template.

Magazine Spread	Vol. I masthead, Playfair display, drop caps, editorial.

Next to the dropdown a note reads "color controls live" on Match my brand, or "curated palette, colors locked" on the other four, because those looks carry their own palette. An Edit brand kit link opens your kit.

Colors (Match my brand only)

Control	What it does
Accent	The form's accent color.
Button	The submit button fill. Brand puts it back to following your brand's primary color.
Background	The form background color, or Transparent to let your site show through.
Preview on	Light or Dark, so you can judge a transparent form against your site.
Field	Input field fill. Card matches the card surface; Clear makes fields transparent.
Brand	Primary and Secondary shortcuts to your brand colors.

On a curated look this cluster shows the locked palette with a Switch to Match my brand link.

Button, Layout, Corners, Fonts

Cluster	Options
Button	Filled (solid fill), Outline (transparent fill, accent border) or Pill (solid, fully rounded). Applies on every look.
Layout	One col (fields stacked) or Two col (short fields side by side, paragraphs span the row).
Corners	Slider from 0 to 32 px, default 10. Drives fields and the button.
Fonts	Heading and Body, each Match my brand or any preloaded family from Fonts. Only Match my brand reads these; curated looks keep their own type.

The form itself

The form on the right is editable in place.

• Headline: click to edit (placeholder "Tell us about your day").
• Intro line: optional, click to edit ("+ Add an intro line (optional)").
• Submit button: click the button to change its label (placeholder "Send inquiry").

Questions

Each question is one row. Click a label to edit it.

Part of the row	What it does
Drag handle (the dotted grip on the left)	Drag to reorder.
Label	Click to edit the question text. A star marks a required question.
Answer preview	Shows what the couple will fill in.
Options (Dropdown, Multiple choice, Checkboxes)	Click an option to edit it, click the x to remove it, Add option to add one. Name an option "Other" on a dropdown or multiple choice and couples can type their own answer.
Help text	"+ Add a hint (optional)", shown under the answer box.
Required	A switch at the bottom right of every row. Click to toggle.

Hover a row for its toolbar:

Tool	What it does
Answer type dropdown	Change the type: Short answer, Paragraph, Email, Phone number, Date, Number, Dropdown, Multiple choice or Checkboxes.
Move up / Move down	Reorder one step at a time.
Delete (x)	Removes the question at once, no confirmation, no reload.

Name and Email are locked. Every form needs a contact path, so those two rows cannot be deleted and cannot change type. A small lock pill shows the type instead of the dropdown. You can still edit their label, help text and required state.

Add a question

• Click Add question at the bottom of the form to add one at the end.
• Hover the top edge of the first question or the bottom edge of any question and click the + line to insert one right there.

New questions start as Short answer with the cursor in the label. Change the type from the row's toolbar.

Step 2: After submit

"What happens after they submit?" Pick one outcome.

Show a thank-you message	Success message: a short note appears right where the form was. Default "Thanks, we'll be in touch soon!"
Send them somewhere	Redirect URL (placeholder "https://yoursite.com/thank-you"): a pricing PDF or a booking page, for example.

Step 3: Notifications

"Want to auto-reply to the lead via email?" The auto-reply is set per form. There is no global switch.

1. Click the switch next to Send the lead an auto-reply. The pill reads ON or OFF, and the hint says whether every new inquiry triggers the email below.
2. With it on, fill in Auto-reply subject and Auto-reply body. Plain text. Sign off with your name. Merge fields work here; see Merge fields.
3. Click Send myself a test to receive exactly what a lead gets, using what is on screen, saved or not. The subject arrives prefixed "[Test]" and the body starts with a line saying it is a test.

Test result	Meaning
"Sent to {email}" followed by "check your inbox."	It worked.
"No email on your business profile yet"	Add an email under Your details first.
"Write a subject or message first, then send a test."	Both boxes are empty.
"Couldn't send" with a note about Gmail	Connect Gmail (with sending allowed) under Integrations.
"Send failed"	Try again, or check your connection.

If no email sender is connected, a notice at the top of the step says the auto-reply will save but will not send until you connect Gmail. Leads still land in Hailo immediately.

Step 4: Share

Paste on your website

One line of HTML. It works on Squarespace, WordPress, Wix and custom sites. Click Copy snippet (it reads Copied for a moment). The same snippet is behind Copy embed in the header.

Direct link to your form

A standalone web page for this form, with no website needed. Put it in your Instagram bio, a Linktree or behind a QR code. Click Copy link. Anyone who clicks lands on the same form as the embed.

URL and status

Field	Notes
URL slug	The last part of the form's address. Changing it breaks any snippet already pasted on your site. If the slug is taken, Hailo adds a suffix.
Active	Uncheck to pause the form without deleting it. A paused form stops accepting submissions.

Click Save URL settings to store these two. They are the only settings on the page that need a button.

Test a submission

There is no test-submit button. Open the real form with Open preview, fill it in and submit. The lead appears in Manage like any other; delete it afterwards.

If it didn't work

• Submissions never appear as leads. Check the form is Active on the Share step, and that the snippet on your site is the current one (a changed slug invalidates the old snippet).
• The auto-reply is not sent. The switch must be ON, and Gmail must be connected with sending allowed. Use Send myself a test to prove the path.
• Colors will not change. You are on a curated look. Switch the Look to Match my brand.
• You cannot delete Name or Email. They are locked so every lead has a contact path. Rename them instead.
