Book a lead

Build the one link that rolls up the proposal, contract, questionnaire and deposit, send it, and watch the couple book.

The Booking tab on a lead is where a couple goes from "interested" to "booked". You assemble one link, send it, and the couple reviews, signs and pays on that one page. When the deposit lands, Hailo turns the lead into a client, creates the wedding event and generates the rest of the invoices.

Pick a flow

The first time you open the tab it asks "How would you like to start?" with the note "Pick the shape of this couple's booking experience. You can switch any time." Your choice is remembered per lead on this Mac.

Three cards: Zoom ("Auto-creates a Zoom meeting when they book. Join link goes in the confirmation email."), Google Meet ("Rides on your Google Calendar connection. Meet link attaches to the event automatically.") and Qualifier form ("Skip the call. Send a short 'tell us about your day' form first."). Each shows Connected, Connect → or Connect Calendar →; the qualifier form is marked Built-in. Open discovery-call settings ↗ and Manage integrations ↗ sit underneath. See The call scheduler.

Packages and status

When a lead has more than one booking, chips at the top switch between them, named after each proposal, with a lock on any that is signed. + New starts another.

The status pill reads Draft, Live (glowing once published), Cancelled, Client marked paid, needs your confirm, Paid or Booked.

Step 01: Layout

  1. Open the dropdown "Pick a layout or template". It has three groups: Your saved templates, Blank layouts (each marked "(empty)") and Existing drafts for this lead.
  2. Pick one. The proposal is created at once with the couple's name, date and venue filled in, and appears inline in the editor.
  3. Click the title to rename it ("Click to rename, saves automatically."). The line under it names the layout.

Edit the proposal in place. See The proposal builder. If the proposal cannot be shown, the step reads "Proposal #N couldn't load." with Open in builder →.

Step 02: Layout sections

A switch per section of the chosen layout. Sections the layout needs are marked Always on. The chip reads "N hidden" or "All N showing".

Step 03: Packages

The chip shows the running total or No items yet.

  1. Click Add from catalog. The menu has Create with One-off line ("this proposal only"), then Packages and À la carte from your catalog.
  2. Pick a package or item, or type a New package name and price and click + what's included to describe it. A new package made here is saved to your catalog too.
  3. Edit names and prices inline, drag rows to reorder, and delete rows. A removed row shows an Undo toast for a few seconds.

Step 03: The contract

Turn on "Ask this couple to sign a contract". The chip reads Not sending one, Not picked, Attached or Custom · attached.

  • Pick a contract from "Pick a template", or
  • Write one in the panel titled "The contract" (placeholder "Paste an existing contract or write one from scratch."). Click Done; the note reads "Saves when you close this."

Step 04: Intake questionnaire

Turn on "Ask this couple a few questions" and pick a questionnaire, or leave "Skip questions". Chips: Not sending one, Not picked, Attached. See Questionnaires.

Step 05: Payments

The summary reads "X% deposit on acceptance" or "$X deposit on acceptance". The coverage chip warns when the schedule does not add up to the total, and reads Needs a package until Step 03 has items.

  1. Optionally choose Load a saved preset…. Your default preset is marked. "Loading a preset overwrites the current rows below."
  2. In the Payment schedule panel ("Set the deposit and split the balance into as many payments as you want."), the first row is always Deposit. Set it as a percentage or an amount.
  3. Add the rest with Add final payment (one more payment) or Split into multiple, then Add another payment for extra rows. Name each row.
  4. Give each row a due date of one of three kinds: when the contract is signed, a number of days or weeks before the wedding, or after the wedding.
  5. Optionally turn on Hold the date and pick a date. The link expires if the couple has not signed by then.
  6. Optionally tick Save this schedule as a preset ("Reuse it on future bookings without rebuilding row-by-row.").
  7. Click Save payments.

Presets can only hold "on signing" and wedding-relative rules, never a fixed calendar date. See Retainers and payment plans.

The action bar

Control What it does
Email to client Opens the Messages tab with the booking link written into an editable email. Disabled ("Add a package to the proposal first") until Step 03 has items.
Copy link Copies the public link.
Publish Makes the link live. Disabled until there are items.
Unpublish Takes a live link offline. Confirm: "Take this booking offline?" with "The client link will stop working until you publish again." Not offered once the couple has signed or paid.
