Video calls and scheduling links

Paste your Calendly, Acuity or Cal.com link, and give every discovery call its own Google Meet or Zoom link through the call scheduler.

Three tiles on the Integrations page are about getting a couple onto a call with you. Scheduling holds a link to an outside scheduler. Google Meet and Zoom give each discovery call booked through Hailo's own call scheduler a fresh video link.

If you book calls through Calendly, Acuity, Cal.com, Google appointment slots or anything similar, paste the link here. Inquiry-reply templates that invite a discovery call drop it in through the scheduling link merge field. See Merge fields.

  1. Open Settings > Integrations.
  2. On the Scheduling tile, paste your link into the field (the placeholder shows the shape, for example a Calendly address ending in your event name).
  3. Click Save. Hailo shows "Scheduling link saved." and the chip changes from Not set to Set.

A bare address without https:// is accepted; Hailo adds it. Open link → appears under the field once a link is saved so you can check it.

To remove the link, clear the field and click Save. Hailo shows "Scheduling link cleared."

Tip

If you use Hailo's own call scheduler and this field is empty, saving the call scheduler fills it with your Hailo booking address, so the merge field works without you pasting anything.

Google Meet

Google Meet has no sign-in of its own. It runs on your Google Calendar connection.

Chip Meaning
Connect Google → Google Calendar is not connected. Connect it and Meet is ready.
Ready Runs on your connected Google Calendar. The tile names the account.

Once ready, open the call scheduler and pick Google Meet under Where the video call happens. Hailo then creates a new Meet link for each discovery call and puts it in the confirmation email.

Zoom

Zoom gives every discovery call its own meeting instead of reusing one static room.

Chip Meaning
Connect Zoom → Ready to connect.
Connected The tile reads Connected as your Zoom account.
Setup required Zoom is not switched on for Hailo yet. See below.

Connect Zoom

  1. On the Zoom tile, click Connect Zoom →. The Waiting for browser approval… overlay appears and a browser window opens on Zoom's sign-in page.
  2. Sign in and approve. Return to Hailo. Hailo shows "Zoom connected as" your account.
  3. Open the call scheduler and pick Zoom under Where the video call happens.
Action What it does
Reconnect Runs the Zoom sign-in again.
Disconnect Hailo asks "Disconnect Zoom? New discovery calls fall back to your pasted call link until you reconnect." Confirm and Hailo shows "Zoom disconnected."

If the Zoom tile says "Setup required"

The tile reads "Zoom sign-in isn't switched on in Hailo yet" and explains it needs a one-time setup on Hailo's side before accounts can connect. Until then, use Google Meet, or paste a static Zoom link in the call scheduler. Discovery calls work either way.

How this feeds the call scheduler

Open Settings > Call scheduler. Under Where the video call happens there are three choices.

Choice What happens on each booked call
Google Meet A new Meet link is created on your Google Calendar connection. Shows Connected, or Not connected with a Connect Google Calendar link.
Zoom A new Zoom meeting is created. Shows Connected, Not connected with a Connect Zoom link, or Setup needed with a See Zoom setup link.
My own link A field appears with the placeholder Paste your meeting link. The same link goes out on every call. Use this for a personal Zoom room, a Whereby room, or anything else.

Click Save on the call scheduler after changing it. See Call scheduler for everything else on that page.

If it didn't work

  • "Business profile not set up yet." when saving the scheduling link. Your studio details are not saved yet. Fill in Settings > Your studio > Your details first.
  • The saved scheduling link opens the wrong page. Paste the full address from your scheduler's share button, not the page you see when signed in.
  • "Zoom auth failed:" followed by a reason, or "No authorization code returned by Zoom." Zoom refused or the approval was interrupted. Try again.
  • "OAuth state mismatch" with a prompt to try connecting again. Start again and finish the approval in one go.
  • "Failed to complete Zoom connection:" followed by a reason. Wait a moment and try again.
  • Calls are going out with your pasted link instead of Meet or Zoom. The call scheduler is still set to My own link, or the connection it needs shows Not connected. Check both on the call scheduler page.
  • The waiting overlay never closes. See Approving a connection in your browser.
