Connect Google Calendar

Push weddings, consults and deadlines to Google Calendar, read your other calendars to hold booking slots, and subscribe any other calendar app to your Hailo schedule.

Connect Google Calendar and Hailo pushes wedding dates, consultations and deadlines onto the calendar you already check. You can also point Hailo at other calendars you keep (a personal one, a second shooter's) so they show on the Hailo calendar and stop couples from booking a call over something you already have. Google Meet links for discovery calls ride on this same connection.

Connect Google Calendar

  1. Open Settings > Integrations.
  2. On the Google Calendar tile, click Connect Google →. The Waiting for browser approval… overlay appears and a browser window opens on Google's sign-in page.
  3. Sign in and approve. Return to Hailo. The tile changes to Connected as followed by your Google account, and Hailo shows "Google Calendar connected as" your address.

You can also connect during onboarding on the Connect your email and calendar step. It is optional there.

The Google Calendar connection is separate from the Gmail connection. Disconnecting one does not affect the other, even when both use the same Google account.

What pushes to Google

The connected tile says it: events auto-push with 1-week, 1-day and 1-hour reminders, and deleting an event in Hailo removes it from Google too. Each pushed event carries the venue as its location.

Choose which calendars Hailo uses

Under the connected tile is a small form.

Field What it does
Push events to The one calendar Hailo writes to. Leave it as primary for your main calendar, or paste the ID of a dedicated calendar such as one named for your weddings.
Also read Other calendars to show on the Hailo calendar and keep clients from booking over. Click Add a calendar for each one and paste its ID. Remove takes a row away. Up to 4 extra calendars.
Hold booking times when any of these calendars is busy On by default. When ticked, busy time on the push calendar and every read calendar is held out of your call scheduler.
Save Saves the form.

Find a calendar's ID

The tile explains it: a calendar's ID is in Google Calendar under Settings, then the calendar, then Integrate calendar. For someone's main calendar it is their email address. The calendar has to be shared with the Google account you connected first, or Hailo cannot read it.

The save-time check

When you click Save, Hailo tries to read every extra calendar before it accepts the form, so a typo or an unshared calendar shows up now instead of as events that never appear.

  • If every calendar reads: "Google calendar sync updated."
  • If one cannot be read: "Saved, but Hailo can't read" followed by the ID and the reason, then "Check the ID and that it's shared with" your connected account. The row stays in the form with the label not syncing, check this ID so you can fix the ID rather than retype it.

A calendar that reads correctly shows Google's own name for it next to the ID.

Reconnect or disconnect

Action What it does
Reconnect Runs the Google sign-in again. Use it to switch accounts or after Google revoked access.
Disconnect Hailo asks "Disconnect Google Calendar? Already-pushed events stay on your calendar." Confirm and Hailo shows "Google Calendar disconnected." Events already on Google are left alone.

Subscribe any other calendar app

Below the tiles is a strip called Subscribe via link with a Live feed chip. It is a read-only feed of your Hailo schedule for any calendar app that is not Google or Apple (Outlook, Fastmail) or for sharing with your crew.

  1. Click the link box to select the address, and copy it. Any calendar app that accepts a subscription by URL can use it.
  2. Or click Add to calendar. That opens the feed in your Mac's calendar app as a subscription.

The strip says to skip it if you already connected Google or Apple above. Subscribing here as well makes every wedding show twice on that device.

Reset link replaces the address with a new one. Hailo asks "Reset the feed link? Anyone subscribed to the old link stops getting updates." After confirming it shows "Feed link reset" and the new link. Use this if you shared the link with someone who should no longer see your schedule.

Google Meet

Google Meet has no sign-in of its own. Once Google Calendar is connected, the Google Meet tile reads Ready, and picking Google Meet as the call type in the call scheduler gives every discovery call its own Meet link. See Video calls and scheduling links.

If it didn't work

  • "Google auth failed:" followed by a reason. Google refused or you cancelled. Click Connect Google → and approve again.
  • "OAuth state mismatch" with a prompt to try connecting again. The approval came back too late or to a different session. Start again and finish in one go.
  • "No authorization code returned by Google." The approval was interrupted. Try again.
  • "Failed to complete Google connection:" followed by a reason. Google accepted the sign-in but Hailo could not finish. Wait a moment and try again.
  • A second calendar's events never appear. Click Save on the form. The check tells you if Hailo cannot read it. The usual fix is sharing that calendar with the connected Google account.
  • Weddings show twice on your phone. You are both connected and subscribed to the feed. Remove the feed subscription from the phone.
