Who can see what
Hailo workspaces are single-seat today, couples only see the pages you send them, and your own gallery visits do not count as views.
A Hailo workspace has one login: yours. Couples see only the pages you send them, through the links you send. This page lays out who can reach what.
You: the one seat
Hailo workspaces are single-seat today. There are no team members, roles, seats or shared logins, and no screen to invite a colleague or an editor into your workspace. One email and password (plus Touch ID and two-factor, if you use them) opens the whole workspace, on as many Macs as you log in on.
If a second person needs to work in Hailo, they need their own workspace and their own plan. Multi-seat studios are not available yet.
Because there is one login, protecting it matters. See Two-factor authentication.
Your couples: public pages only
Couples never log in to Hailo. Each thing you send them is a page at its own link, and that link is the only way in. The pages are:
| Page | What the couple can do there |
|---|---|
| Inquiry form (on your website or its own link) | Send you an inquiry |
| Call scheduler | Book a discovery call |
| Proposal | Read it, pick add-ons, sign and pay the retainer |
| Booking page | Answer questions, sign the contract, download the contract PDF, pay |
| Invoice | View and pay, by card or the methods you offer |
| Questionnaire | Answer your pre-wedding questions |
| Client hub | Everything you have sent that couple, in one place |
| Delivery gallery | Watch, download, leave a note, buy an upsell |
A couple with a link to one page cannot reach any other page, the workspace behind it, or another couple's pages. A gallery can also have a password and an expiry; see Password and expiry.
These pages are never locked by your plan. A plan change never darkens a gallery a couple is watching, and a wing that is not in your plan does not affect them. Neither does cancelling: a published gallery runs its own year from the day its last film was uploaded, and it keeps running whether or not you are still a member. See Cancel your plan.
Your own visits do not count as views
When you open a gallery yourself (from the editor's preview, or from the share link while signed in on the same Mac), Hailo recognises you as the owner and does not count it. The gallery's view count, the "Delivery page viewed" notification and the activity on the client record only move when a couple, or someone with the link, opens it. Automatic link previews from messaging apps are not counted either.
So the views on a gallery's analytics are the couple's and their guests', not yours. See Analytics.
Hailo staff
Nobody at Hailo looks at your workspace by default. Access is limited to a very small group and is used only when you ask for support or when abuse is being investigated. Hailo's own admin console is available only to the Hailo owner's account; a studio account that reaches it is turned away with "Platform admin is restricted to the Hailo owner." See Your data and your clients' data.
If a couple reports seeing something they should not
- Check which link they used. Each link opens one page for one couple.
- If a link was forwarded on, change the gallery's password or its link ending; see Password and expiry and Custom link ending.
- If the page shows another couple's details, contact support from Feedback in the sidebar with the link.
