E-signing
How a couple signs on the booking page, what the contract PDF contains, and how you countersign to lock the booking.
A couple signs your contract on their booking page, in the browser, with no account. You countersign from the lead in Hailo. Both signatures end up on one PDF that Hailo emails to the couple.
The couple signs
The Sign step of the booking page is headed Review and sign: "Read through, then sign your name to confirm. We'll be notified the moment you sign." The full contract text is shown above the signing block. Below it:
- Signature pad with a Draw / Type switch. - Draw: "Draw your signature above with your mouse, finger, or trackpad." Clear wipes the pad. - Type: "Type your full name in the field below and it appears above as your signature." Three signature faces are offered; the typed name is painted into the pad in the chosen face.
- Full legal name ("Your full name here").
- The consent checkbox: "I agree that my signature above is my legal electronic signature, and that I have read and accept the contract terms above."
- Sign and continue. It stays disabled until the name is typed and the box is ticked. While Hailo records the signature the button reads "Signing…".
A sticky dock at the bottom of the page reads "One signature to go" with a Sign the contract button until they sign. Payment is locked until then: "Sign the contract above to unlock payment."
After signing, the contract section shows their signature image and "Signed by
What Hailo records
With the signature Hailo stores the typed legal name, the date and time, the signer's IP address and device, the consent, how the signature was made (drawn or typed) and a fingerprint of the exact contract text they saw. That is what makes the agreement tamper-evident if it is ever disputed.
If a signature is submitted without a name or without the consent box, Hailo sends the couple back to the Sign step rather than recording it.
What you are told
Hailo rings your bell and emails you the moment they sign, and writes the event to the lead's activity rail. Automations on the signed stage fire. On the lead page an amber banner appears: "
The contract PDF
Once both parties have signed, the booking page shows Download your signed contract (PDF). The PDF contains the contract text, both signature images, both names with dates, how each signature was made, and the consent statement. The couple gets the same PDF by email when you countersign; that is the only contract email they receive.
Countersign
You can countersign from three places: the amber banner's Go to countersign, the bell notification, or the Countersign button on the locked booking tile in the lead's Booking tab. All three open the same modal.
- The modal is headed Countersign / Lock the booking: "
signed on . Add your signature to complete the contract on your end." Their signature is shown above the pad. - Sign on the pad (Draw or Type). If you saved a signature before, it is preloaded.
- Tick Remember this signature for next time to preload it on your next countersign.
- Type your name in Type your full name.
- Click Countersign. Or Not yet to close.
On countersign Hailo records your name, IP and time, emails the couple the countersigned PDF, and writes "Countersigned by
| Message | Meaning |
|---|---|
| "Contract countersigned." | Done. The couple's copy is on its way. |
| "Client hasn't signed yet, wait for their signature first." | You opened the countersign before the couple signed. |
| "Already countersigned and booked." | Nothing more to do. |
| "Type your full name to countersign." | The name box was empty. |
Expiry stops mattering once signed
A booking link can carry a hold-the-date deadline, and a proposal expires 30 days after creation. Both only bite before the signature. Once the couple has signed there is a live agreement and possibly a deposit in flight, so the link keeps working regardless of the date.
