Client payment methods
Choose how couples can pay you (Stripe, Square, Venmo, Cash App, Zelle, check or wire), turn on automatic reminders and decide who pays the card fee.
Settings > Client payment methods decides which ways to pay appear on the payment menu a couple sees when they pay an invoice or a deposit. Turn on the rails you accept and fill in the details for each. The page saves as you change it; the status line reads All saved.
This page is about how your clients pay you. Your own Hailo subscription is on Settings > Hailo Billing.
Reminders
Automatic payment reminders: "Email clients when an invoice is due soon or overdue, from your connected inbox. Never double-sends." Off by default. It needs a connected mailbox. See Payment reminders.
Card processing fee
Pass card fee to clients: when a couple pays by card through Stripe or Square, the processor's fee (about 2.9% + $0.30) is added to their total so you keep the full invoice amount. It shows as a "Card processing fee" line at checkout. This is the studio-wide default; each invoice can override it. Check your state's surcharge rules before turning it on. See Card fees.
Payment rails
Each rail has a switch. The rails with details show their fields once switched on.
| Rail | What the couple does | Details to fill in |
|---|---|---|
| Stripe | Cards, Apple Pay, Google Pay, ACH. Confirms itself when the payment lands. | None here. Connect Stripe under Integrations. |
| Square | Card payments through Square. Confirms itself when the payment lands. | None here. Connect Square under Integrations. |
| Venmo | Manual. The couple sends to your handle, then taps "I sent it" and you confirm. | Your Venmo handle (placeholder "@your-handle") |
| Cash App | Manual. The couple sends to your $cashtag and confirms when sent. | Your $cashtag (placeholder "$YourCashtag") |
| Zelle | Manual, bank to bank. Either email or phone is enough. | Email registered with Zelle, Phone registered with Zelle |
| Paper check | Manual. The couple mails a check; you mark it received. | Make the check payable to, Mailing address |
| Wire transfer | Manual. Common for larger deposits. | Wire instructions: bank, routing, account, SWIFT. Markdown supported. The couple sees this verbatim when they pick wire. |
Stripe and Square carry a chip: Connected or Needs setup.
Memo hint
What clients should put in the memo line applies to the manual rails. Example: "Include the couple's last name in the memo so I can match the payment to your booking."
When a rail is on but not ready
A rail only appears on the couple's payment menu when it is both switched on and complete. The page tells you when it is not:
| Rail | Warning |
|---|---|
| Stripe (not connected) | "Connect Stripe in Integrations first, or this rail won't appear on the client's payment menu." |
| Square (not connected) | "Connect your Square in Integrations first, or this rail won't appear on the client's payment menu." |
| Venmo (no handle) | "Add your handle above, or this rail won't appear on the client's payment menu." |
| Cash App (no cashtag) | "Add your $cashtag above, or this rail won't appear on the client's payment menu." |
| Zelle (no email or phone) | "Add an email or a phone number above" (either one is enough) "or this rail won't appear on the client's payment menu." |
| Paper check (missing a field) | "Fill in both fields above" (a check needs a payee and somewhere to go) "or this rail won't appear on the client's payment menu." |
| Wire transfer (no instructions) | "Add your bank details above, or this rail won't appear on the client's payment menu." |
The check the page runs is the same one the couple's payment page runs, so what you see here matches what they see.
Saving
Every switch and field saves on its own; the note at the bottom reads "Changes apply to the client payment menu." and the status line shows All saved. A Save payout settings button is there as well for when scripts are blocked; clicking it shows "Payout settings saved."
If it didn't work
- The status line reads "Couldn't save". Check your connection and change the setting again.
- A rail is on but couples cannot see it. Read the warning under that rail and fill in what it asks for, or connect the integration.
- Reminders are not going out. The mailbox must be connected under Settings > Integrations. See Payment reminders.
- The card fee is not being added. The invoice itself may override the default. Open the invoice and check its card fee setting.
