The Clients list

Track every booked couple through editing and delivery, see what each one earned per hour, and spin the globe of where you have filmed.

Clients is your roster of booked couples. Open it from Clients in the sidebar. A couple arrives here when a lead books or when you add one directly with New client.

Filter the list

The pill at the top switches between All, Booked, Editing, Delivered and Archived, each with a count.

Segment Meaning
Booked Signed and paid, wedding still ahead.
Editing The wedding has happened and the film is in progress. Hailo moves a booked client here on its own once the wedding date passes.
Delivered The gallery is published, or you marked the project complete.
Archived Out of the active roster.

Type in Search clients… to filter by name.

Columns

Column What it shows
Name The couple. Click to open their record.
Status Click to change (see below).
Income Cash actually received from this couple.
Hourly Contract value divided by the editing hours you tracked on their film. Shows a dash until both numbers exist. See Editing time.
Location The wedding venue. The column header is a button that opens the globe.
Wedding The wedding date. If there is none yet, an Add date button opens the event form. See The wedding event.

Change a client's status

  1. Click the status chip on a row.
  2. Choose Booked, Editing, Delivered or Archived.

The row updates in place. Archived rows are dimmed until you hover them.

The globe

Click Map at the top of the page, or the Location column header, to open "Where you've filmed": a globe with a pin for every venue.

Control What it does
Marble, Night, Satellite, Topo Switch the globe's skin.
Names Show or hide the couple names on the pins.
Spin Start or stop the slow rotation.

Your choices are remembered on this Mac.

Note

Hailo looks up the map position of up to 25 venues each time you open the list, so a large roster fills in over the first few opens. Venues that cannot be found on a map are skipped.

Pick a client from the calendar

When you click an empty day on the calendar and choose New booked event, the Clients list opens in picker mode with a banner: "Adding a booked event on , pick a client." Click a row to open the event form with that date filled in, or Cancel to go back to the normal list.

Imported clients and paused automation

Clients imported from another CRM arrive with automation paused so Hailo never emails a real couple by surprise. A banner at the top reads "N clients have automation paused. Hailo isn't sending them payment reminders, questionnaires, or date-based workflow emails." Click Resume all and confirm to include every paused client in payment reminders, pre-wedding questionnaires and any date-based automations you have turned on. You can also resume or pause one client at a time from their record.

Export

Your client list downloads as a CSV from Settings > Account under the export section. There is no export button on the Clients page itself. See Export your data.

Empty state

With no clients yet the page reads "Your roster is empty" and explains that clients arrive when you convert a lead, or that you can add one directly if they skipped the lead stage. Use See your leads → or New client.

Troubleshooting

A couple shows Editing but the wedding is months away. Their wedding date is wrong or missing. Open the record and fix it on the Event tab.

The globe is missing venues. Only clients with a wedding event that has a venue address are pinned. Hailo also looks up 25 new venues per open, so reopen the list once or twice.

Hourly shows a dash. Either no editor project is linked to this wedding, or there is no contract amount. See Editing time.
