Send a proposal
Review and email a proposal, know what changes the moment it goes out, resend it, preview it and delete it.
Sending a proposal emails the couple a link to their page, flips the proposal to Sent, and makes the Sign & pay button on that page work. This article covers the send itself; the page the couple lands on is in What the couple sees.
Before you send
- Someone must be attached. Open Advanced settings > Prepared for and pick the lead or client. Without it the send is refused: "Pick who this proposal is for before sending it, open Advanced settings and set 'Prepared for'."
- A mailbox should be connected (Gmail or a custom mailbox in Settings > Integrations). Without one Hailo still marks the proposal sent and gives you the link to share by hand.
- The couple needs an email on file. Otherwise you get the link to share yourself.
Send from the builder
- Click Review and email in the builder toolbar.
- For a proposal attached to a lead, Hailo opens the lead's Messages tab with a draft that already contains the booking link. Read it, edit it, and click Send. Because the draft booking becomes live on this send, Hailo asks "Sending this makes the booking link live for the couple. Send it now?"
- For a proposal with no lead (a client-only proposal), Hailo confirms "Send this proposal? Status flips to Sent and the public link becomes shareable." and sends the email itself. You land on a page that says "
is sent." with the public link, Copy link, Open, Back to builder and All proposals.
The email is sent from your own connected mailbox, so the couple's reply comes to you. The subject is "Your proposal" followed by the proposal title, and the body carries the link.
What happens on send
| Change | Detail |
|---|---|
| Status becomes Sent | The sent time is stamped and shown in the Sent column of the Proposals list. It becomes Viewed the first time the couple opens the link. |
| The booking link goes live | For a lead, Hailo creates or publishes the booking behind the proposal so the couple's Sign & pay button works. The contract the couple signs is the proposal's terms unless you attached a different one on the Booking tab. |
| Automations fire | Any automation with a When a proposal is sent trigger starts for that lead (for example the "Proposal follow-ups" preset). |
| The email is logged | It appears in the lead's Messages thread with open and click tracking. |
Resend
Once sent, the toolbar button reads Resend and email. A resend does not email the couple again by itself; it shows you the link to share again ("Already sent, share the link below to resend."). To email it again, send it from the Messages tab.
Preview
Open in browser in the toolbar opens the couple's page in your Mac's web browser without counting as a view. The Proposals list also has a preview for each row, and the lead's Booking tab shows a live preview with Proposal, Booking page, Contract, Questions and Pay tabs.
Delete
Open the proposal and use the delete action, or select rows on the Proposals list and click Delete selected. Deleting an accepted proposal removes its signature and acceptance record too, so the list warns you first. See Proposals list.
If it didn't work
| Message | What to do |
|---|---|
| "No email on file for them, share the link below." | Add an email to the lead or client, then send again, or copy the link and send it yourself. |
| "Connect an email account in Settings → Integrations to send automatically" | Connect Gmail or a custom mailbox. The proposal is already marked sent; share the link by hand for now. |
| "Couldn't email it (…), share the link below." | The mailbox refused the send. Check the connection under Settings > Integrations (a Needs reconnecting card means Google stopped accepting sends) and try again. |
| The couple sees "Watch your inbox, your personal booking link arrives separately." | The proposal is attached to a client rather than a lead, so there is no booking behind it. Send the couple a booking from the lead's Booking tab, or accept through the proposal's own accept step. |
