The wedding event

Record when and where the wedding happens, who the other vendors are and the day-of timeline, and push it to your calendar.

The wedding event is the day itself: date, times, venues, vendors and the timeline. When a couple books through your booking link, Hailo creates it for you from the proposal. For a client you added directly, you create it here.

Open the event form

  • On a client record, open the Event tab and click Add wedding event, Add another event, or the edit control on an existing event.
  • On the Clients list, click Add date on a client with no wedding date.
  • On the calendar, click an empty day, choose New booked event, then pick the client.

When

Field Notes
Event type Pick from the list (wedding, engagement and so on).
Date The day. This is the date the calendar, the countdowns and the Editing status change use.
Start time, End time Coverage window.
Guest count A number.
Style notes Free text, for example "doc-style, warm, candid; lots of movement; loves slow-motion".

Where

Three pairs of fields: Getting-ready venue name and Getting-ready address, Ceremony venue name and Ceremony address, Reception venue name and Reception address. The addresses are what the globe on the Clients list pins.

Vendors

Planner, Photographer, DJ / Band and Officiant. Each is a dropdown of your vendor roster with "none" as the first option. Add vendors under Vendors (search for it with ⌘K) before they appear here.

Day-of timeline

One line per moment, in the form HH:MM then the label, for example:

11:00 Getting ready starts
13:30 First look
15:00 Ceremony

Hailo reads the time at the start of each line and the label after it. The timeline shows on the Event tab and feeds the Shoot prep widget on the dashboard.

Save

Click Create event for a new event or Save event for an existing one. Delete event at the top removes it after a confirmation.

Your calendar

When you save, Hailo pushes the event to your connected Google and Apple calendars in the background. Nothing extra to click. To download it for any other calendar app, use the event's .ics download from the Event tab. See Google Calendar and Apple Calendar.

Dragging the event to another day on Hailo's calendar re-pushes it. See The calendar.

Troubleshooting

The event is not on my Google Calendar. Check that Google Calendar is connected under Settings > Integrations. Save the event again to push it.

The timeline came out with the wrong labels. Each line must start with the time. Move any note text after the time.
